Job Summary
We are seeking a bright and enthusiastic professional for the role of Executive Assistant, Sales to join our Sales team. The successful candidate will thrive in a dynamic environment, be proactive and resourceful, and have a customer-service mentality. The Executive Assistant, Sales will be a strong team player who demonstrates exceptional attention to detail, solid organizational and communication skills, and experience managing competing priorities on a daily basis.
Responsibilities
Supports 3 Sales VPs wiall administrative duties
Manage calendar and travel schedules and routinely plan, coordinate and schedule meetings, across multiple time zones, including meeting logistics and the resolution of schedule conflicts in a timely manner
Build and leverage collaborative relationships with other Executive Assistants across the company in particular to organize critical meetings
Prepare, review and track expense reports
Organize meetings and develop meeting materials (such as presentations and reports) as needed
Plan and organize special events, including team offsites (generally 1-2 events per year per executive)
Coordinate special projects as needed
Create/modify travel itineraries as needed, including coordinating with our travel agency
Maintain confidentiality of highly sensitive information
Manage complex office administrative work requiring the use of independent judgment and initiative
Support department-wide initiatives
Create and issue BoardVantage documents for Mid-Qtr Audit committee (VP, Business Assurance Services) and Dividend Committee meetings (SVP, Finance Services)
Create PO/PR’s for all the teams as needed in COUPA
Print, scan documents needing wet signatures for all Executives in a timely manner.
Adhoc requests and other duties as assigned based on the skills and capabilities of the individual
Qualifications
5+ years experience supporting multiple executives preferred
Proficiency in Microsoft Office- Outlook, PowerPoint, Word, Excel
Coupa (procurement) and Concur (Travel) experience desired
Experience with expense reporting and PO management
Experience with scheduling meetings, travel, events (virtual and in-person)
Experience in negotiating with event location vendors
Highly organized, resourceful and proactive
Communication and relationship- focused
Flexibility when needed on working hours (particularly over quarter ends)
Excellent written and verbal communication skills
Experience working in a culturally diverse and global company preferred
Availability to work in our Frisco office 1-2 times per week
