Facilities Coordinator I

Reporting to the Sr Director of Facilities, we are seeking a highly motivated, experienced Facilities Coordinator 1 to oversee daily activities at our San Diego site. The ideal candidate will have sharp business acumen, attention to detail, and proven experience managing multiple priorities.

The Facilities Coordinator 1 shall maintain a close understanding of our internal PacBio customers and partner with Human Resources, IT, Quality, EHS and the Facilities Maintenance Manager to maintain a safe, reliable, and comfortable facility.
As a Facilities Coordinator with PacBio you will play an essential role in promoting and supporting the workplace experience. Your goal is to ensure occupants have an exceptional work environment every day and provide personalized, boutique service. Responsibilities include, but are not limited to:
Primary Functions:
  • Audit and report site Janitorial services, day cleaner and night crews. Ensure procedures are followed, documented and meet ISO guidelines.
  • Routinely check cleanliness and organization of common spaces to include, conference rooms, rest and breakroom, privacy spaces and outdoor patio area.
  • Guide site security physical and systems. Support and attend to guard duties, access control and camera and alarm system.
  • Monitor the site food and beverage programs and ensure vendor commitment and employee satisfaction.
  • Monitor and coordinate with vendor general office supplies. Ensure stock at supply locations are adequate.
  • Liaise and coordinate Facilities support of site events to include set ups, catering and clean up.
  • Ensure standard trash and recycle is maintained.
  • Oversee and maintain site office seat assignments, churn, cubicle, and office preparedness, signage and update office seating software.
  • Coordinate office furniture, changes additions and accessories.
  • Following Quality procedures, facilitate internal customers document storage requirements and off-site document storage vendor.
  • Back up the reception function for breaks and absences.
Additional Responsibilities:
  • Back up and support Maintenance Manager as necessary
  • Maintain emergency call lists for Facilities related functions.
  • Communicate regularly with internal customers regarding status updates and service request. Ensure all requests are handled promptly and services are tailored to the individual.
  • Create and maintain ethical and courteous relations with internal customers, landlord, vendors and contractors.
  • As requested, support Facilities functions at PacBio Global sites.
  • Be flexible and available to support after-hours activities.
Experience:
  • High School Diploma or Associates Degree in a technical field or equivalent combination of education and experience, with some related experience in the field of facility management.
  • A minimum of 3- 5 years’ experience in a Facilities services role preferable in Life Sciences Industry.
  • Experience working in an ISO or cGMP facility is beneficial.
  • IFMA, FMP, SFP or CFM credential a plus.
  • Working knowledge of safety practices as they apply to office and Life Sciences facilities.
  • Experience solving moderately complex technical problems and ability to make decisions, when necessary, in alignment with established guidelines, techniques, and procedures.
  • High skill level with personal computers and standard software (e.g., Microsoft Word, Excel, PowerPoint, email, calendars) and web browsers.
  • Experience with IWMS or CMMS space and maintenance management software.
  • Effective verbal and written communication skills to interact effectively and respectfully with co-workers, other internal organizations, contractor and vendors.
  • Excellent customer service skills and ability to influence.
  • Ability to work independently or in a matrix-oriented team environment.
  • Proven interest and ability to independently and proactively acquire new knowledge and skills.
PHYSICAL REQUIREMENTS:
  • Occasionally required to stand up to 6 hours a day. While performing the duties of this job, the employee is frequently required to reach with hands and arms, stand; The employee is occasionally required to sit; climb or balance; stoop, kneel, crouch or crawl, and lift up to 50 lbs.
You may be required from time to time to visit and work at PacBio locations and for such times as the Company considers necessary for the proper performance of your duties.

Salary Range:
$50,200.00 - $67,900.00
