Position Overview

The Veterinary Referral Coordinator serves as the liaison between Fetch’s team of providers and primary care veterinarians. This key role combines exceptional customer service, a concierge-like approach, and detailed organizational skills to enhance the experience of our referring community. The Coordinator ensures a seamless referral process, providing personalized support to veterinarians, clients, and their beloved pets.

Key Responsibilities

  • Referring Veterinarian Liaison:
    • Serve as the main point of contact for referring veterinarians and their staff.
    • Direct cases to appropriate specialty services and address questions or concerns.
    • Act as the primary resource for the rVetLink portal.
  • Medical Record Management:
    • Audit and ensure completeness of medical records, including exam notes, lab results, and diagnostics.
    • Create and send clinical summaries to referring doctors.
  • Community Engagement:
    • Foster relationships with the veterinary community by identifying and addressing their service needs.
    • Partner with the marketing team to organize veterinary education events for referring veterinarians and their staff.
  • Client Coordination:
    • Facilitate pre-appointment communication with new referral clients to provide a welcoming experience.
    • Personally greet and onboard new referral clients during their first visit.
    • Conduct post-appointment follow-ups, including requests for feedback and Google reviews.
  • Additional Duties:
    • Review prescription requests from outside pharmacies.
    • Process insurance claims, including verifying coverage and managing documentation.
    • Train new hires on referral processes and provide exemplary customer service.
    • Collaborate on new initiatives to enhance the referral experience.

Education:

  • Associate’s degree or higher in Animal Science, Medical Technology, or Communications preferred.

Experience:

  • Required: 3–5 years of experience in the animal health field. Experience in a referral-setting is preferred.
  • Proficiency in veterinary medical terminology and procedures.
