DepartmentSponsored Research AdministrationResponsibilitiesThis advanced level position will advise and assist faculty and staff in pre-award and post-award non-financial sponsored research, instruction, and public service activities from public resources.Such activities associated with this position include, but are not limited to:• Proposal preparation, review, submission and tracking of sponsored research, instruction, and public service activities from public sources.• Negotiate basic and complex agreements by serving as the primary liaison with funding/sponsoring agencies.• Review subrecipient documents and determine contract/vendor relationship. Accept award and coordinate post-award non-financial activities.• Maintain regular contact with principal investigators, deans, chairs, departmental administrators, and funding agency officials regarding interpretation and application of contract and grant documents, policies, and procedures relative thereto.• Analyze compliance requirements and provide recommendations.• Coordinate project programmatic close-outs.• Prepare official communications to faculty and sponsors. Input data including proposal workflow and award acceptance, agency proposal submission and post award non-financial requests.• Set up project files.• Supervise and coordinate workflow; perform annual staff evaluations and approve leave.• Effectuate special projects and assist the senior staff with complex level special projects as assigned. Assist with the development of policies and procedures.• Conduct pre-award training to staff and university campus. Mentor staff and other duties as assigned.QualificationsMaster's degree and two years of experience; or a Bachelor's degree and four years of experience, or a combination of post-high school education and experience equal to eight years. (Note: Higher education can substitute for experience at the equivalent rate.)Note: This position requires successful completion of the eSPEAR certification series within the first six months of the start date. Certified Research Administrator designation also required within the first six months of hire.Preferred Qualifications• Experience with contract review and negotiation.• Experience with federal contracting and Federal Acquisition Regulations.• Experience with SBIRs/STTRs.• Experience with attention to detail, meeting project deadlines, and working independently.• Experience with the review and negotiation of contracts.• Ability to communicate effectively and clearly both verbally and in writing.• Ability to comprehend and interpret state, federal, and sponsoring agencies rules, regulations, policies, and laws regarding sponsored research.• Ability to work effectively in a fast-paced, changing environment and to interact with people at all levels diplomatically, tactfully, and professionally.HelpfulWho is the ideal candidate for this position?The SRA Grants Manager is essential for maintaining expeditious workflow of items that come to the office for processing. In addition to being proficient at grants officer duties, the supervisor of the team fields questions, provides approvals and signatures, reassigns tasks to more evenly distribute work, and coaches grants officers on navigating highly varied scenarios involving university stakeholders, as well as those in the sponsoring agencies (e.g., FL Department of Health, National Science Foundation). You are detail-oriented and analytical, as well as a good multitasker and problem solver. The office is fast-paced, so the ideal candidate for this position thrives staying busy and exudes composure and leadership in a demanding environment.What is a typical day in this position?Every day can be different. One day, you may be reviewing several proposals and award time extensions while, the next day, you could be reviewing and negotiating contracts, reviewing a budget and budget justification for an upcoming proposal, and reaching out to a faculty member about their upcoming amendment for time and money. The pre-award management team works together very closely to discuss new scenarios and coordinate workflow between teams. There are regular grants officer meetings and a full staff meeting monthly. If you enjoy working in a medium-sized department, in a collegial profession that has you learning something new all of the time, you'll be happy in SRA. There are also many training opportunities that can be attended virtually and in person.What can I expect in the first 60 – 90 days?In the first few weeks, you will meet your team and the entire SRA staff. Our IT team will make sure you are up and running usually by the end of your first day. Then, you will be able to get acquainted with our website and our policies and procedures. You will be working closely with team members, completing the eSPEAR Certificate Series online training, and starting to work on certain tasks independently. At the 6-month mark, you will notice that you've learned much and are more comfortable in your position.
