Administrative Assistant/Intake Coordinator

We are seeking a proactive and organized Administrative Assistant/Intake Coordinator to join our team in Passaic, NJ. This is a part-time (30 hour work-week), in-person position, ideal for someone who thrives in a collaborative and dynamic work environment.

Key Responsibilities

  • Office Management:
    • Oversee day-to-day office operations, ensuring efficiency and organization.
    • Maintain office supplies and equipment, handling inventory and reordering as needed.
  • Scheduling & Coordination:
    • Manage calendars for staff and coordinate client appointments.
    • Ensure schedules are streamlined and any conflicts are resolved efficiently.
  • Intake Coordination:
    • Serve as the first point of contact for new clients, collecting and verifying necessary information.
    • Ensure all required documentation is completed and properly filed.
  • Administrative Support:
    • Handle correspondence, emails, and phone calls professionally and in a timely manner.
    • Assist with data entry, filing, and maintaining organized records.
    • Support team projects and assist in meeting deadlines.
  • Team Collaboration:
    • Work closely with staff to ensure smooth communication and coordination.
    • Actively contribute to maintaining a positive and team-oriented office environment.

Qualifications:

  • Previous experience in administrative roles, preferably in an office setting.
  • Strong organizational and time-management skills with attention to detail.
  • Self-motivated and able to take initiative without constant supervision.
  • Proficient in Google Suite and other office software.
  • Excellent communication skills, both verbal and written.
  • Friendly, approachable, and a team player.
