The Team:

The Human Resources team supports our employee population by providing the structure, care and development needed for individual employees to be successful in their own careers, which in turn contributes to the overall growth and success of the Company. The Human Resources department is organized in three strategic pillars:

  • Compensation and Benefits: payroll, health and welfare benefits, retirement plan services, and immigration.
  • Human Resources Business Partners: performance management, employee relations, recruiting and retaining talent, coaching and counseling
  • Talent Development: corporate social responsibility, Diversity, Inclusion & Family, learning and leadership development, internal communications, and employee engagement

The Opportunity:

As the HR Assistant, you will contribute to the overall department strategy through your support of the SVP HR as well as the various teams under the HR function. In this role, you will have exposure to many facets of Human Resources in serving as the point person for general HR-related inquiries for our Retail, Corporate and Service Center teams. Your ability to balance multiple priorities, maintain highly organized workflows, and provide excellent internal customer service will be critical in ensuring our department functions smoothly and effectively so that we can meet our department’s strategic goals.

About the Role:

  • Organize and expedite work and data flow processes through the department/office, consolidating varied inputs from multiple stakeholders and producing clear outputs to facilitate HR initiatives.
  • Assist in preparation and coordination of presentations/documents and other written communications by using intermediate/advanced features of Microsoft Office applications (Word, Excel, Power Point) that articulate these insights for senior management.
  • Organize and tabulate data, often of a highly confidential nature and utilize HR systems to execute and analyze annual / ad-hoc reporting metrics and HR data. Responsible for data quality and integrity of varied reporting.
  • Coordinate in-person and virtual meetings and convenings, including helping with logistics, catering, technology, managing guests/attendees and their travel arrangements, and finalizing agendas and slides.
  • Manages the calendar of the SVP HR. Prioritize visitors, calls, mail and email responding to inquiries or referring them to other team members, scheduling meetings/calls and following up.
  • Coordinate travel arrangements and prepare, submit and track department invoices and T&E processing.
  • Understand nuances of HR data definitions, and their business implications and possess broad knowledge of overall corporate operations.
  • Assists with coordination of team space including office moves and reconfigurations.
  • Support employee engagement, organize HR team events and activities.
  • Coordinate and take ownership of special projects as assigned and support HR department on an ad-hoc basis.
  • Encourages inclusion, well-being, and positive employee experiences – is mindful to the impact on colleagues & represents a level of excellence.
  • All other duties assigned by supervisor.

  • YES - tracks departmental budget for area of responsibility; responsible for accurate payments and ensures proper coding

About You:

  • Minimum 2 years of experience in HR / People Operations/ Executive Assistant roles, may consider hands-on internship experience
  • Resourceful and strong problem-solving ability
  • Patient, service focused, solution oriented, with a team mindset
  • Easily balances multiple priorities, working at a quick pace with accuracy
  • Proven excellence at meeting long and short-term deadlines
  • Excellent judgment and discretion in handling confidential information
  • High level of attention to detail
  • Strong comfort level handling highly confidential and sensitive information
  • Strong technical expertise and experience with Microsoft Office Suite, specifically Excel & PowerPoint
  • Excellent verbal and written communication / presentation skills

The range for this position is $26.93/hr. - $36.44/hr. Actual rates are determined based on the job, location, and individual experience.
