Our Newest Opportunity:
We are looking for a talented individual to join our growing team as a Leave of Absence Administrator. This individual will be dedicated to providing excellent service and reliable administration to clients who have chosen to outsource their Leave of Absence administration to OneDigital. In this role, you will work closely with other Leave of Absence team members to serve multiple clients from various industries. This role is a great opportunity for a fast learner looking to continue to expand their knowledge of the continually changing landscape of leave administration and support clients with their specific absence management needs.
Essential Duties and Responsibilities (include but are not limited to):
  • Handle the day-to-day LOA administration for clients by supporting both the Account Manager and/or LOA Analyst on the specific needs related to that account.
  • Provide timely reports and feedback as it relates to the status of the leave for the client and/or Account Manager.
  • Manage incoming emails for the team shared inbox and prioritize, respond, and sort accordingly.
  • Courteously answer inbound team phone calls and provide a high level of customer service with accurate and helpful information to each caller.
  • Provide excellent service and timely responses for all potential leave inquiries with specific guidance regarding the process and education as it relates to job protection and wage replacement options during the absence.
  • Process applicable disability claims forms efficiently and effectively with the related disability carrier and provide necessary updates to the impacted individuals.
  • Effectively support all LOA administration cases to include general administration and compliance with Federal, State and local regulations related to leaves including FMLA, CFRA, PDL, PFL, USERRA, ADA/ADAAA, and company specific leave policies.
  • Assist with the onboarding process of new clients which may include attending implementation meetings, reviewing company policies, and supporting the team to organize and input necessary information for the new client partnership.
  • Participate in and support the team with specific projects as it relates to leave administration and compliance.
  • Work closely with all LOA team members to provide assistance with leave policies, processes and specific employee scenarios that may need additional attention.
  • Respond timely to all incoming inquiries and assigned tasks within system including reminders for necessary paperwork and return to work communications.
  • Attend educational webinars and workshops to continue to stay up to date on the changing environment of leave of absence administration.
Qualifications, Skills and Requirements:
  • Demonstrates ability to maintain high level of confidentiality, flexibility and effectively prioritize and multi-task a variety of responsibilities.
  • Learns quickly and displays a sense of urgency and exceptional communication skills (oral and written) with a desire to build long, lasting relationships.
  • Innovative, adaptable team player able to adjust focus and attend quickly to changes in team and client priorities.
  • Sound judgment that is consistent with standards, practices, policies, procedures, regulations, or government (Federal and State) law.
  • Knowledgeable regarding the ADA interactive process and reasonable accommodations and able to effectively discern next steps for escalation on all types of leave or accommodation requests.
  • Detail oriented with strong research and analytical skills and the interest in continued growth and learning.
  • The ability to develop rapport well and work with a variety of personalities at all levels throughout the firm.
  • Is reliable and works well independently to efficiently and effectively complete all assigned responsibilities.
Education, Training and Experience:
  • 1-3 years of experience with Human Resources with leave of absence administration experience for a mid to large sized employer.
  • Proven experience working in a fast-paced, professional environment with a numerous deadlines and competing priorities.
  • Strong technology experience in systems such as benefit administration, payroll or HRIS reporting.
  • Knowledge of Federal, State and local regulations related to employer compliance and specifically the legal aspects of leave of absence administration.
  • Excellent proficiency with Microsoft Office Products and with a focus on Excel reporting functionalities.
  • Ability to speak and write in Spanish a plus.
