Position Overview:
DrFirst is looking for an administrative professional who is a skilled task manager and confident communicator with the dedication and motivation required to succeed in a fast-paced role. As our Human Resources Assistant, you’re an integral part of the team holding down the fort onsite and virtually. You will be the first to make a great DrFirst impression to our newest DrFirst Guardians in New Hire Orientation (NHO) and continue to be a part of the employee lifecycle experience through the course of their career by coordinating events and trainings (both virtual and in-person) as well as assisting with company culture initiatives.

From a business perspective, you will get the chance to assist our HR team with everything from data entry, creating PowerPoints, running reports, ordering business cards, file maintenance and assisting with companywide trainings such as DrFirst University and New Hire Training. This is a role that will allow you to gain exposure to all departments within the company, and the opportunity to interact closely with senior management and executives on a regular basis as you keep the internal wheels of the company running smoothly with administrative support for our day-to-day operations.

What you will work on:
HR Assistant:
  • Responsible for cultivating a positive experience at both our Maryland office locations
  • Assist with coordinating culture events, team meetings onsite and offsite, managing the conference room schedules and ensure cleanup after each use
  • Manage our internal ticketing system for Employee Experience requests
  • Support swag/ life event mailings for Marketing and Culture teams
  • Meeting and greeting guests (clients, interviewees, and all other guests)
  • Utilizing strong MS Outlook skills to reserve conference rooms, communicate with employee base, and send impactful emails
  • Reconcile HR credit cards, expense reports, conduct preliminary analysis, and make recommendations for improvements
  • Maintain, Order and organize the office equipment, mail room and other office supplies
  • Main POC between DrFirst and building facility teams, responsible for alerting them of any onsite issues (AC, leaks, elevator issues, etc.)
  • Coordinating travel for interviewees and new hires
  • Receive office mail and distribute accordingly, including local check deposits
  • Introducing processes to improve office efficiency
  • Manage the new-hire onboarding process to include transition from Talent Acquisition team, mandatory trainings, ordering business cards, and coordinating New Hire Orientation (NHO).
  • Coordinate Human Resources initiatives such as team lunches, employee engagement events, and company-wide trainings
  • Review our internal onboarding portal, Sysops and report any delays or issues to the People Coordinator
  • Update employee records in the HRIS system
  • Manage the creation, recording, and distribution HR content on the intranet
  • Support internal physical security compliance procedures and protocols (visitors and employees)
  • HR data entry, as needed

Qualifications:
  • High School Diploma
  • Ability to work with minimal supervision
  • Sense of urgency and ability to prioritize appropriately
  • Excellent customer service and problem-solving skills
  • Proficiency in MS Office suite, emphasis on Word, Outlook, and Excel
  • Administrative or office management experience required
  • Human Resources experience, preferred
  • Ability to handle and maintain confidentiality
  • Must have own reliable transportation
Physical Requirements:
  • 5-10% Travel
