Office Coordinator (Part-Time)

GENERAL SUMMARY

This role is responsible for processing incoming mail, courier deliveries, package deliveries, and interoffice mail in order to provide timely and accurate service. The Office Coordinator (part-time) also handles the office supplies and upkeep of the office.


ESSENTIAL FUNCTIONS

  • Front Desk Receptionist
  • Answers Corporate phone
  • Responsible for mail services including:
  • Mail machine operation
  • UPS shipments
  • Sorting and distributing of interoffice and incoming mail
  • Interacting with couriers and delivery personnel
  • Handling shipping and receiving while managing cost-effectiveness
  • Sending and receiving offsite files
  • Ensuring the office is adequately stocked with mail supplies
  • Orders and restocks company supplies:
  • General Office Supplies
  • Paper
  • Logo Envelopes/Letterhead/Labels
  • Business Cards
  • Breakroom Supplies
  • Coffee Supplies
  • Maintains the appearance and organization of the storage room, R.E.C. breakroom, conference rooms, general office areas
  • Provides administrative support to the Facilities department as needed
  • Performs other duties and projects as assigned

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to operate, adjust and maintain the mail-processing machine
  • Working knowledge of mail processes such as postage machines and UPS
  • Proficiency in a multi-tasked environment with proven skills in organizing, prioritizing, and attention to detail
  • Skilled in Microsoft Office applications and other relevant software

REQUIRED EDUCATION AND EXPERIENCE:

  • High school graduate
  • 2 years of mail machine operation and/or corporate receptionist experience preferred

WORK ENVIRONMENT/PHYSICAL DEMANDS

  • Travel Requirements: None
  • Weight Lifting Requirements: 25 lbs.
  • Ability to stand for long periods of time

RELATIONSHIPS:

  • Reports To: Director of Facilities / Director of Market Analysis
  • Directly Manages: None
  • Internal Relationships: All team members
  • External Relationships: Customers, vendors, candidates, board of director members, and guests
