The Recruiting Operations team ensures OpenAI’s talent acquisition process is efficient, effective, and aligned with our organizational goals. This team supports recruiters, hiring managers, and cross-functional partners to streamline the candidate journey, optimize internal tools, and maintain high-quality data and documentation.
About the role
As a Recruiting Operations Specialist, you'll play a key role in supporting our recruiting team's operations, documentation, and systems management.
This role is based in San Francisco, and knowledge of Ashby ATS is strongly recommended.
In this role, you'll:
Manage the support channel, coordinating discussions with IT and cross-functional teams.
Maintain comprehensive documentation including FAQs, question banks, communication drafts, and Recruiting Wiki pages.
Support vendor and tool management by organizing contacts and contracts for the recruiting tool stack.
Execute on operational system tasks within Ashby.
Ensure data quality, including candidate record accuracy, offer management, job creation, and closures.
Coordinate training, maintain and update resources (Notion, GitHub, Slack), and create instructional videos.
Develop and maintain Ashby reporting templates, interviewer pools, and tagging systems.
Assist with scheduling discovery sessions for new functionality roll out.
Update and audit project details.
We're seeking someone with experience including:
Familiarity and proficiency with Ashby ATS.
Comfort with Notion, Slack, and Loom.
Excellent organizational and documentation skills.
Proven experience collaborating with cross-functional teams.
