Job Description


The Operations Manager for Enrollment Management, supports the Enrollment Management leadership team members, Associate Vice Presidents, Directors, and Vice President, supporting day-to-day operations, overseeing human resource divisional needs, arranging complex travel, and assists with budget monitoring for all Enrollment Management areas. This role is responsible for navigating requests, communicating with internal and external stakeholders, working with division leadership to execute the divisions strategic priorities. The ideal candidate will be able to anticipate needs, remain organized under pressure, and be a part of the Enrollment Management team supporting the NAU 2025 strategic plan. This dynamic, fast-paced position requires the ability to think critically and offer solutions to problems with a high level of professionalism and confidentiality.

Managing Operations - 40%

  • Oversees operations for the Enrollment Management, EM, unit and its various components, ensuring compliance with university, local, state, and federal policies and regulations.
  • Schedules and prepares for Enrollment Management, EM, Forums and leadership meetings, including agendas, materials, presentations, and any necessary follow-up materials.
  • Coordinates and manages project-specific budgets and resources in collaboration with Enrollment Management leadership.
  • Composes verbal and written communication; develops PowerPoint presentation for multiple audiences, internal and external.
  • Works with EM Leadership Team to identify, analyze, and find solutions for enrollment related processes and procedures.
  • Maintains relationships with university administration, prospective students and families, and other constituents.
  • Maintain, track and serve as inventory liaison for all fixed asset items in Enrollment Management. This is to include annual regional employee agreements and cell phone agreements. Process exceptions to policy as needed for regional staff.

Leadership Support - 30%

  • Arranges complex travel schedules for the Vice President, Associate Vice Presidents and Directors in accordance with the university travel policies and procedures.
  • Serves as the primary division liaison to the University Service Human Resources Team to ensure all policies and practices are followed for smooth and timely hiring.
  • Train EM team on recruitment and hiring practices of new staff.
  • Serves as the division lead in on-boarding and transition for new team members.
  • Manages the Vice President’s, Associate Vice Presidents; prioritize and arrange meetings, plans, and arranges conferences, visits and meetings and communicates arrangements.
  • Creates and/or compiles enrollment reports and presentations, for multiple enrollment teams including Statewide, regional and Flagstaff based teams.
  • Assists departmental Directors and Financial Oversight Manager with budget management and accounting connected to travel, hiring, projects, and purchasing.
  • Provides administrative support to the Directors, Associate VPs and Vice President, EM.

Administrative Support - 15%

  • Provides information requiring comprehensive knowledge of university and department policies, procedures and operations to internal and external constituents.
  • Answers inquiries and forwards items to appropriate team member.
  • Assists with the recruitment, hiring, training, supervision and evaluation of student workers in collaboration with Executive Assistant, Senior.
  • Evaluates and resolves typical administration/operational functions to ensure effectiveness and compliance with university policies and practices.

Building Manager - 10%

  • Serves as the University Marketing and Operations Building Manager, a multi-use building housing cross divisional unit, including, University Admissions Processing, EM Communications, Enrollment and Student Services Call Center, University Marketing Photography and Videography, and University Alumni offices.
  • Respond to all building reservations and needs, including building access, maintenance, inspections, outages, and scheduled shutdowns.

Other - 5%

  • Perform other duties as assigned.

Minimum Qualifications


  • Bachelor’s degree
  • 1-2 years of management experience.
  • 2-4 years of directly related administrative experience supporting a senior executive;
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

Preferred Qualifications


  • Knowledge of NAU’s practices and procedures.
  • Experience working in Admissions, Recruitment, Financial Aid and/or Enrollment Management.
  • Experience working in a higher education setting.
  • High-level computer and software proficiency with Microsoft Teams, Word, Excel, and Zoom.

  • Knowledge of budget management techniques and methods.
  • Skill in problem solving and decision making.
  • Knowledge of project management, office and administrative best practices and principles.
  • Ability to take ownership of responsibilities and anticipate the needs of the division

  • Ability to work effectively with people from a variety of culturally diverse backgrounds.
  • Knowledge of SalesForce CRM, PeopleSoft Student Information System, Business Objects and Enterprise Reporting tools, Microsoft Word, and Excel.

Background Information


This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. If you are applying for a job that requires a CDL, you will be required to register with the Federal Motor Carrier Safety Administration Drug & Alcohol Clearinghouse and adhere to the clearinghouse requirements. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary


Anticipated salary range is $47,634 - $59,542. Annual salary commensurate with candidate's qualifications and related experience.


FLSA Status


This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.


Benefits


This is a Service Professional (SPF) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System or the Optional Retirement Program; 22 days of vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. NAU is a tobacco and smoke-free campus. Service Professionals are hired on a contract basis, renewable each 6 months according to terms of the Conditions of Professional Service. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. If a new employee chooses the ASRS retirement option, participation in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, will begin on the first of the pay period following 6 months after the new employee's start date. New employees who choose to participate in the Optional Retirement Plan (ORP), which is an alternative to the ASRS plan for faculty and other appointed staff, will begin to participate on the first day of the pay period following election. Additionally, the long-term disability plan that accompanies the ORP will begin on the first day of the pay period following election.
