The People Operations Specialist is a key player in supporting processes and programs aligned with our People Operations strategy at scale. You’ll leverage your extraordinary attention to detail to support complex day to day operations for the Deel team member lifecycle (onboarding to offboarding), and act as the initial point of contact for responding to team member inquiries through workflows and requests spanning benefits, payroll, onboarding, etc.

Responsibilities:

HRBP Support

  • Support the HR Business Partners with core people functions requiring individual or bulk uploads of documents, data or information changes, team member role or compensation impacts, and contractor/employment agreement impacts (including offboarding, performance management, compensation and promotion cycles, etc).

  • Program specific instances and workflows into HRIS system so we can enhance our team member experiences (e.g. offboarding email voluntary / involuntary) and partner with HRBP to provide self-serve information and changes.

  • Help HRBP in creating reports with required fields from our HRIS and other systems to allow us to run HR Analytics.

  • Help us ensure best in class team member support when responding to questions and resolving issues including team member employment or service verifications, access requests and claims.

Talent Acquisition Support

  • Support Talent Acquisition with the creation of offer letters, employment agreements, and contracts across multiple platforms, with specific attention to detail to the complexity of hiring globally and creating country or province specific hiring documentation.

  • Ensure timely and accurate processing of offer documents for candidates working in partnership with Talent Acquisition, Total Rewards, Legal, Mobility, HRBPs, as applicable.

  • Create HRIS profiles and cue onboarding workflows for all candidates who have accepted offers and completed all offer paperwork.

  • Partner with Talent Acquisition to track new hire onboarding progress and completion in HRIS, coordinate to ensure all new hire forms are accurately completed across all systems of record and returned within the required timeframe to begin work on start date.

People Operations Coordination

  • Document, implement and work to improve upon processes, procedures and programs relating to the team member lifecycle that you are working on to ensure we have adequate process documentation.

  • Ensure the timely systems input of critical people impacts e.g. unemployment claims, offboarding and job information changes including compensation, promotions and transfers.

  • Own the creation of team member documentation including contracts, amendments, employment agreements, and other documentation as required for new hires and internal transfers.

  • Accountable for HRIS data including team member records and information changes such as promotions, terminations and transfers. Ensuring the integrity and accuracy of all people data both in the HRIS and ancillary systems.

  • Ensure timely and accurate processing of background checks.

  • Serve as a primary point of contact for internal team member support providing self service resources and knowledge to answer or respond to internal team member inquiries.

  • Responsible for accurate and timely processing of internal team member requests, both individual and manager, for our People workflows in JIRA to include but not limited to requests for reimbursements, notification of leave events, requests for data or information, onboarding, offboarding, etc. Follow the prescribed protocols for responding to and executing on these requests, sending individuals to self service, or escalating to the appropriate person.

Requirements

  • 2-4 years of experience in an associate, specialist, or generalist HR role ideally within a growth-stage tech company with exposure to either an all-remote environment strongly preferred.

  • Ability to follow complex protocols and instructions for workflows to include various types of contracts by country, differences in benefits and compensation across different countries and employment status, etc.

  • Prior experience with applicant tracking systems, HRIS, JIRA Service Desk, or other systems in the HR technology stack highly preferred.

  • Ability, and desire, to work within a distributed team and as a successful and effective individual contributor in a fast-paced, changing environment.

  • Strong verbal and written communications with the ability to effectively communicate at multiple levels within the company.

  • Strong problem solving and organizational skills - able to manage multiple priorities in a dynamic and occasionally ambiguous environment.

  • Able to use discretion and handle highly sensitive information.

  • Excellent interpersonal skills and ability to establish strong relationships at all levels and across functions.

  • Proficient in Google workspace with Sheets, Docs, etc or equivalent Microsoft experience, specifically Excel and Word.

  • Highly detail and process oriented.

  • Strong desire to provide excellent customer service and support.

  • Ability to deliver against protocols in a highly regulated and complex compliance environment.
