This is a unique program management and administrative role. You’ll work closely with Finance/Accounting, Legal and Information Security leadership in order to plan, orchestrate, and manage various projects and initiatives. This position is located in our San Francisco office and is an excellent opportunity if you thrive working on highly impactful and visible products.
5+ years of program management or technical administrative experience. PMP certification a plus.
Highly motivated, organized individual with a strong attention to detail who is able to work effectively and prioritize with minimal supervision
Clear written and verbal communication skills, a good listener with ability to communicate with all levels of leadership and across multiple offices and timezones.
Strong multi-tasker with an appreciation for the challenges of supporting a growing team with diverse personalities in a hybrid and remote working environment.
Ability to prioritize and handle multiple assignments at any given time while anticipating the needs of others.
Strong relationship management skills, ability to build a personal network throughout the company and work with a variety of personalities.
Experience performing administrative work that requires analysis, initiative, and discretion.
Bright, high-energy individual, with a passion to learn and contribute.
Adaptability in response to changing priorities and needs.
A “yes, but how” attitude
Proficient using Google Suite, Slack and Apple product
While this role does not require direct experience or training in Finance, Legal or Information Security, minimal familiarity with the responsibilities of these departments is required
Responsibilities
Assist senior leadership in Finance/Accounting, Legal and Information Security with the management of complex technical projects and initiatives
Tasks will include note taking/minutes, calendar management, coordination of meetings including but not limited to 1:1s and team meetings, offsite meetings, and meetings across global time zones.
Listen and seek to understand project details and responsible parties, ask questions to ensure alignment and confirm responsibilities and deadlines; track deadlines and progress; communicate with leadership to ensure projects remain on track
Be proactive and assist others to prepare for upcoming meetings, create presentations, and advance projects by gathering necessary information and materials.
Lead, drive, and execute on various team events, social gatherings, and offsites.
Find new and efficient ways to help maximize time, including weekly reporting, goal-tracking, and team meetings.
Work cross-functionally to ensure communication is efficient and clear between teams.
Act as a liaison for assigned executives relaying and exchanging information with others including senior leaders, customers and clients, and other organizations or constituents.
