Job Summary
We are seeking a proactive and detail-oriented HRIS/Office Administrator to manage critical HR administrative operations and ensure our office runs smoothly. The ideal candidate will excel at maintaining employee records, administering benefits, and managing office supplies while fostering a positive and productive workplace environment.
Key Responsibilities
HRIS Administration:
Maintain accurate employee records within Rippling, including titles, department, pay, and other employment details
Oversee payroll processes to ensure accuracy and timeliness
Draft and manage offer letters and new hire documentation
Ensure compliance with state and employer regulations, working closely with legal or compliance teams when necessary
Manage IT/security systems and processes, including onboarding and off-boarding employees
Facilitate onboarding requirements within the Rippling system, including I-9 verification, background check and software access.
Support the formalization of compensation bands to align with company strategy
Work alongside Rippling ASO to ensure timely troubleshooting, support tickets and resolution of technical problems that arise
Benefits Administration:
Collaborate with benefits brokers to ensure compliance with all regulations
Lead company-wide benefits trainings and open enrollment periods
Serve as the subject matter expert for all benefits-related topics, including HSA, FSA 401(k), and carrier-specific details
Manage COBRA benefits and requirements for all eligible participants and maintain relationships with COBRA vendors
Office Supplies & Equipment:
Ensure kitchens are consistently stocked with the foods employees want
Order office supplies, electronics, and other equipment as needed
Maintain meeting rooms by ensuring whiteboards are clean, markers are available, and equipment is functional
Manage equipment orders for new hires and ensure timely delivery
Coordinate and oversee catered lunches for the team
Skills & Experience
3+ years of experience with HRIS, HR or office administration, preferably in a fast-paced environment
Familiarity with various HR platforms (e.g., Rippling, Gusto, Guideline or similar)
Strong understanding of benefits administration and compliance, including HSA and 401(k) plans
Proven ability to manage office operations, including supplies and equipment
Excellent organizational and multitasking skills with strong attention to detail
Exceptional communication skills to liaise with employees, vendors, and brokers
Proficiency with IT/security systems and vendor management
