Purpose of the Position:
The Staff Assistant will provide administrative support to the department chair, faculty, staff, and students. The incumbent will assist with issues pertaining to university business as needed. The incumbent will work a maximum of 20 hours weekly.

Duties/Responsibilities
  • Assist with management of Chair’s daily calendar.
  • Manage the departmental calendar of events, seminars, meetings, etc.
  • Maintain a directory of department personnel and students.
  • Maintain departmental and faculty files.
  • Facilitate processing of travel authorizations, if applicable.
  • Monitor computer lab supplies, schedule of software updates, staffing/access, if applicable.
  • Prepare invitations for seminar speakers. Coordinate travel and lodging for guests.
  • Assist in filing, copying, scanning, etc. and keeping track of documents involved.
  • Facilitate preparation of Part-time instructor, GTA, GRA offer letters.
  • Assist with paperwork for faculty searches; assist with campus interview schedule and logistics.
  • Prepare communication to prospective students.
  • Assist Chair with compilation of quarterly Board of Trustees (BOT) reports.
  • Assist with the departmental monthly newsletter.
  • Prepare course schedules for submission to CoS.
  • Monitor section enrollment, waitlists; submit schedule adjustments as directed.
  • Prepare catalog/curriculum change forms as directed for submission to CoS.
  • Coordinate with faculty and place textbook orders.
  • Assist with textbook ordering
  • Assist with preparation of materials and set-up for student recruitment events, faculty meetings, departmental events, etc. Events may occasionally occur outside of core business hours
  • Other duties as assigned


Minimum Requirements:
  • High school education or equivalent
  • 1-3 years of full-time verifiable administrative or clerical work experience
  • Proficiency with Microsoft Office Suite and Banner
  • Excellent communication and interpersonal skills


Desired Qualifications:
  • Experience in an academic environment is preferred


Published Salary (if available):

$16.58 - $17.30 (FTE= $34,500 - $36,000)
