General Purpose:
Under the direction of the Office Coordinator, provide administrative and business support.
Essential Duties of Position:
1. Provide high-level administrative assistance for all administrative procedures, tasks, and activities associated with the Office of Diversity & Community Engagement.
2. Serve as a source of support and information for visitors and guests for routine questions and inquiries. When appropriate, refer or direct calls and correspondence to appropriate parties.
3. With knowledge of university and federal guidelines, assist in completing and routing personnel, accounting and financial paperwork.
4. Assist in handling calls regarding advising scheduling for pre-medical school students, outreach activities, and any other calls as needed. Assist with visitor meetings related to outreach, and medical school functions as needed. Prepare invoices, complex reimbursements for faculty and staff travel, and review all paperwork relating to travel expenditures before approval by the Business Manager. Track all such processes to ensure receiving proper payments in a timely manner.
6. Order and maintain an inventory of supplies.
7. Compose and edit substantive correspondence and other training related materials.
8. Perform other duties and tasks as deemed necessary by the faculty and staff in support of the Office of Diversity & Community Engagement and serve as backup, when needed, for other administrative staff.
Outlook experience
Eligibility for employment as a student worker requires the individual to be enrolled in an accredited high school, junior college, college, university or a vocational-technical school operated by the State of Louisiana in a full-time status.
