Reports to: VP of Production

Mission: 

To ensure smooth administrative and financial operations in a fast-paced production environment by overseeing office functions, supporting cross-functional teams, and managing bookkeeping tasks with precision.

Job Summary:

This hybrid role combines the responsibilities of an Office Manager and Bookkeeper within a dynamic production setting. The Office Manager & Bookkeeper will oversee daily office operations while maintaining accurate financial records. This individual will serve as the central point of coordination between teams, ensuring timely execution of production schedules and financial reconciliations.

Office Administration and Operations

  • Manage and maintain office supplies, equipment, and vendor relationships.
  • Coordinate maintenance, IT needs, and travel arrangements for staff.
  • Organize filing systems, meeting schedules, and other administrative tasks.

Bookkeeping and Financial Tasks

  • Review, track, and reconcile purchase orders, invoices, and packing slips.
  • Ensure a three-way match for financial documents and prepare invoice packets for Corporate Accounts Payable.
  • Manage petty cash reports and assist in credit applications with external vendors.
  • Oversee financial tasks in AIMS, including closing purchase orders, running monthly inventory reports, and handling shipping documentation.

Human Resources and Compliance

  • Manage employee records, timesheets, and attendance.
  • Coordinate recruitment, onboarding, and training for new hires.
  • Ensure compliance with safety standards and labor laws.

Event and Communication Management

  • Organize team meetings, office events, and external communications.
  • Act as the main point of contact for vendors, suppliers, and partners.

The ideal candidate for this role should be:

  • Highly organized and detail-oriented.
  • Ability to manage multiple projects simultaneously.
  • Strong communication skills with a systems-oriented mindset.
  • Capable of working independently in a fast-paced environment.

  • 3+ years of experience as an Office Manager or Bookkeeper, preferably in the fashion, retail, or production industry.
  • Knowledge of accounting processes and software (Quickbooks, Microsoft Programs, AIMS would be a Plus).
  • Familiarity with the fashion production process and administrative best practices.
  • Bachelor’s degree in Business Administration, Fashion Management, or related field (preferred).

Remote / In-Office requirements: 

This position is in office 5 days a week at our Headquarters in Los Angeles, CA.
