The Onboarding Coordinator will ensure a seamless, top-tier onboarding experience for newly hired attorneys, and is a critical contact for candidates, hiring partners, and our internal business teams. Primary responsibilities revolve around coordinating the entire onboarding and integration process for our lateral non-member attorneys and patent agents.We need someone who can work collaboratively within a team, but also handle individual responsibilities and adapt to rapidly changing priorities. The Attorney Recruiting Onboarding Coordinator will work closely with various teams within the firm, such as the Attorney Recruiting, Professional Development, Human Resources, Career Development and Management teams and will maintain strong relationships with the firmwide hiring partners and office administrators to contribute to the development of strategies to attract, hire and retain highly-talented and diverse attorneys.Responsibilities:• Organizing all pre-arrival logistics for lateral attorneys, welcoming them, and managing the onboarding process from start to finish, ensuring a great experience for new attorneys and a smooth start at the firm.• Serving as the primary point of contact for newly hired attorneys.• Coordinating introductions and arrival information to relevant Office Administrators and teams, and collaborating with administrative departments on onboarding and integrating new hires, including coordinating new associate integration activities.• Handling conflicts and background checks, onboarding paperwork, and the Workday process.• Developing and sending information to new hires about the firm, onboarding timeline, IT equipment, benefits, and more.• Coordinating Lateral Link assignments and programs.• Organizing check-ins for new hires.• Managing payment of placement fees, stipends and bonuses.• Responsible for tracking offer/hire information, tracking progress, reporting results, and documenting lessons learned from each successive integration.• Meeting deadlines and making process efficiency recommendations as the subject matter expert.• Ensuring compliance with all processes and maintaining a high level of confidentiality.• Proactively identifying process improvements and challenging the status quo to enhance integration and retention.• Mentoring junior team members and providing training.• Maintaining records in viRecruit and Workday, updating as needed.Qualifications:• A bachelor’s degree required.• At least two years of professional recruiting experience in a law firm or professional services is strongly preferred.• Outstanding organizational, communication (written and verbal) and critical thinking skills.• Knowledge of the attorney recruiting process and legal employment issues.• The ability to set priorities, work independently and handle a variety of duties effectively under time constraints.• An understanding of unconscious bias and its effect on recruiting and hiring.• Excellent interpersonal skills and the ability to work well with different levels of firm personnel and external clients.• Superior analytical, attention to detail, planning and organizational skills.• Highly motivated and creative with ability to make sound business decisions.• The ability to handle confidential and sensitive information with the appropriate discretion.• Proficiency with MS Office and applicant tracking systems, preferably Workday and LawCruit/viRecruit.The primary location for this job posting is in Palo Alto, but other locations may be listed. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate’s qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows:San Francisco and Silicon Valley: $35.96 - $48.65 per hourAustin, Boston, Boulder, District of Columbia, Los Angeles, New York, San Diego, Seattle, and Wilmington: $32.28 - $43.68 per hourSalt Lake City and all other locations: $28.60 - $38.70 per hourThe compensation for this position may include overtime and a discretionary year-end merit bonus based on performance.
