SUMMARY: Performs a variety of duties such as work with program director to handle program strategies, budgets and policies related to the programs of HCAR by performing the following. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. 

1. Work closely with program director to ensure processes to achieve organizational goals. Work with others to ensure effective execution of chosen program goals to assure things run smoothly for both staff and participants. 

2. Transcribes correspondence and case notes from rough notes or voice recordings.

3. Composes and write routine correspondence as appropriate.

4. Work closely with other employees to develop program schedules, oversee budgeting expenses, connect with event venues, and write instructional documents.

5. Files correspondence and other records and update participants files as needed.

6. Preparing documentation for grants. 

7. Assisting in planning and overseeing significant events. 

8. Maintains accurate participants attendance records. 

9. Makes copies of correspondence or other printed matter. 

10. Oversee the various projects and implement them to ensure they all align

effectively with HCAR’s mission and program goals and monitor the progress to make sure they follow this direction and exceed these goals. 

11. Responsible for building a budget for the program and ensure all projects stay within this budget.

12. Coordinates individual support plans (ISP) by identifying with participants’ annual goals to be obtained during program support services.

13. Coordinates and at the program director’s instruction, provides staff training on basic positive behavioral support and person-centered thinking strategies.

14. Supervises staff working with participants. 

15. Knowledgeable in MS Office and computer programs that further support participants' goals such as those found in Abode, Excel, Picture-Exchange, etc.

16. Assures compliance with DDS, DOL, CARF, REHAB, Community Care Licensing, OSHA, and any other applicable operating requirements

OTHER DUTIES: 

Other duties may include notifying appropriate people in case of an emergency; assisting with staff meetings, Evaluating and assessing the programs’ strengths and weaknesses; running errands; filling in to assist program participants; and other special projects, as assigned by supervisor. 

SUPERVISORY RESPONSIBILITIES: 

Positions Supervised: Support Staff

BENEFITS: Paid vacation, sick leave and holidays according to personnel policies. Health insurance is provided for regular employees scheduled to work at least 30 hours per week within 90 days of employment.

EDUCATION and/or EXPERIENCE: 

High school diploma or general education degree (GED) and at least two years related experience and/or training. 

LANGUAGE SKILLS: 

High-level management and leadership skills, Ability to schedule and manage tasks effectively; Conflict resolution and problem-solving skills; Teamwork and motivational skills. Organizational and multitasking skills, Strong knowledge of and experience in finance. Written and verbal communication skills. Ability to effectively present information in one on one and small group situations to care providers, participants, and HCAR employees. 

MATHEMATICAL SKILLS: 

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. 

REASONING ABILITY: 

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. 

CERTIFICATES, LICENSES, REGISTRATIONS: 

First Aid, CPR, Harassment Training, Bloodborne Pathogens Training, Mandated Reporting abuse. Fingerprint clearance. 

OTHER SKILLS and ABILITIES: 

Ability to do computer word processing and data entry accurately; ability to use office equipment; and ability to interact effectively with individuals with disabilities, as appropriate.

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

While performing the duties of this job, the employee occasionally works in outside weather conditions. 

The noise level in the work environment is usually moderate.
