Academic Program Coordinator

Position Title: Academic Program Coordinator

Department Name: Edward S. Ageno School of Business

Position Reports To: Director of Administration

FLSA STATUS: Salaried

Salary: $64,480

Benefits: The University's comprehensive benefits program


Days & Hours:
Monday through Friday, 37.5 hours per week. Standard work schedule is 9:00 AM to 5:30 PM, may be adjusted. Flexible schedule may require evening and weekend hours during peak periods.


BASIC FUNCTION AND SCOPE OF JOB:

The Academic Program Coordinator will work closely with Program Directors and Department Chairs (Directors). The position requires attention to detail, and tasks required will vary by program.


ESSENTIAL FUNCTIONS:


Program Directors & Department Chairs:

  • Adjunct oversight, coordination, assistance, and onboarding point of contact
  • Administrative support to Directors
  • Manage departmental meeting agenda and minutes
  • Assist Academic Program Managers on events/presentations
  • Assist in coordination of program webinars
  • Track student grievances and appeals process
  • Assure graduate courses and catalog information in website are up to date
  • Course schedule planning, coordination, confirmation, and oversight
  • Closely monitor adjunct calendar working hours cap
  • Coordinate with Directors, Associate Dean, and schedule handler two-to-three-year proposed course schedule (based on programs)
  • Monitor textbook editions and procure desk copies for new and existing instructors as well as applicable laboratory software on timely manner
  • Liaison with the University Director of Assessment, Associate Director of Business Analytics, and Department BI Analyst on Director's program assessments/reviews
  • Assist Directors on professional, licensing, outreach, and students’ associations memberships
  • Outreach and corporate programs assistance
  • Schedule and coordinate appointments and meetings; utilize strong judgment in managing priorities of requests and escalating as necessary for resolution and/or prioritization.
  • Prepare documents, reports, agendas, presentations, and related materials.
  • Assist with special events and other activities
  • Other duties as assigned
  • Bachelor’s degree

  • Three to five years’ experience on this role is required/preferred

  • Ability to maintain positive and professional relationships with students, faculty, and staff

  • Excellent interpersonal, administrative, and organizational skills.

  • Outstanding command of the English language in written and verbal forms

  • Ability to effectively interpret, organize, and present information and ideas in writing

  • Excellent project management skills, including ability to simultaneously manage several projects and activities.

  • High level of proficiency with modern office practices, procedures, equipment, and software, including Microsoft Office Suite, Zoom, MS Teams and other office technology. Intermediate to advanced MS Excel skills, SmartSheet, familiar with web content management tools like Omniupdate, WordPress, or other
  • Ability to work on campus in San Francisco, CA.
