Job Description

Summary 
The Procurement Manager will support and coordinate the activities of the personnel engaged in purchasing and negotiation of materials, equipment, supplies and services within the hotel operation with the exception of food and wine, is responsible of planning, organizing, advising, helping direct when asked, communicating, and supporting activities related to the procurement functions to support the hotel operations

The budgeted salary range for this position is $80,000 to $95,000. Actual pay will be dependent on budget and experience, all our salaried roles are eligible for bonus.

Essential Job Functions
•   Works directly with Aspen One Director of Purchasing to establish company-wide contracts
•   Designs and implements hotel purchasing policies, procedures and strategies
•   Supervises and provides functional direction to assigned personnel in achieving the above objectives
•   Prepares annual budget for the Purchasing Department
•   Develops annual purchasing objectives for directly supervised materials, products and services with the goal of reducing costs and improving service to internal custom
•   Searches applicable markets for best sources
•   Evaluates requests for quotation on materials, products, and services for hotel management
•   Prepares hotel specifications and uses competitive bidding in negotiating to achieve the best value for hotel purchases
•   Maintains, selects and removes vendors from the approved vendor list in conjunction with hotel senior management
•   Establishes and maintains effective communications with hotel department heads
•   Edits and reviews all contracts prior to approval by hotel General Manager
•   Responsible for inventory of stock in general storeroom (paper supplies and printed materials) and prepares purchase orders from inventories
•   Assist in month-end inventories
•   Maintains perpetual inventories on high volume operational supplies
•   Responsible for the cleanliness of the loading dock, dumpster, and receiving areas as well as ensuring traffic control outside these areas
Coordinates off site storage and participates in hotel storage reviews
•   Produces a daily Receiving Log and distributes to appropriate managers
•   Responsible for sending and receiving FedEx or UPS packages for guests
•   Oversee receiving of Sundeck and Aspen Mountain Club items
•   Inspects all storage locations to ensure product is being placed and rotated correctly
•   Communicates with department leads of any shortage, damaged, or refused items and makes plan to re-fill immediately
•   Tracks all items coming in and ensures they are attached to a PO and Invoice
•   Actively manages software including FedEx computer.  Forwards bills of all guests UPS and FedEx daily to the Concierge Desk and distributes arriving packages as soon as they are received
•   Completes additional responsibilities as required

Qualifications

•    High school degree or equivalent required
•    College degree in business or purchasing preferred
•    Must have extensive knowledge of all aspects of the purchasing functions, including purchasing policies and procedures, negotiations, purchasing laws, contract development and administration, inventory management and distribution
•    Certified Purchasing Manager designation preferred
•    Working knowledge of Microsoft Excel and Word helpful
•    Three to five years of purchasing experience with direct buying responsibilities
•    Minimum of two years of supervisory experience required
•    Basic understanding of accounting required
•    Data entry skills required

Supervision Given and Received 
Given:  Exercises general supervision over Purchasing Staff. Assigns a variety of routine tasks, sets general expectations of results expected within company’s policies and procedures. Responsibilities include but are not limited to, interviewing, hiring, planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Received: Works under general supervision of the Director of Operations. Receives continuing or individual assignments according to supervisor’s directions and may perform routine tasks. Expectations of the quality, quantity and deadlines are clearly set. Instructions, advice and assistance available as needed. Work is reviewed on demand or during scheduled check-ins.

Work Environment and Physical Demands 
•    Ability to be on your feet, kneel and bend for extended periods of time 
•    Regularly work in adverse conditions and requiring the use of protective apparel/equipment to prevent exposure to the elements as well as an office environment and may be required to walk on slippery and uneven surfaces
•    Must be able to lift, push or pull occasionally up to 50 lbs. individually or with assistance
