The Fleet Supervisor reports directly to the Logistics Manager and to the Directors when required. The Fleet Supervisors’ primary responsibility is to account for and uphold all regulatory requirements regarding driver tacho cards, recorded vehicle compliance records, maintenance and service records, and all H&S requirements including equipment across all ATC’s fleet of vehicles and trailers in Europe, The UK, and Ireland. The role involves planning, booking, monitoring, recording, and reporting including managing designated accounts with suppliers. The role also involves ordering and maintaining inventory levels of equipment and Dublin fuel supply.
The Fleet Supervisor is expected to perform administrative tasks efficiently and to a high standard, in accordance with RSA and EU regulations and ATC’s standard operating procedures, ensuring all queries and requests are dealt with promptly and professionally. S/he will be responsible for the preparation of documentation, maintaining files and completing financial transactions as required. The Fleet Supervisor is expected to maintain high levels of communication standards at all times with both drivers and all other internal team members to enhance excellent customer service levels.
• Act as POC for all ATC fleet requirements and issues
• Source quotes for required maintenance and keep costs to a minimum
• Ensure cover is in place for unplanned maintenance
• Maintain highest standards of record keeping in compliance with all regulations
• Ensure compliance with EU working time directive and relevant road safety regulations is documented.
• Ensure all relevant vehicle regulation certs and licences are valid and up to date (including Road Tax, CRV, Insurance, Waste and Haulage)
• Monitor and keep records of all driver tachograph card downloads
• Monitor and keep records of all vehicle safety pre-op checks conducted by drivers
• Carry out weekly audits and vehicle inspections
• Maintain records of driver performance for incentive scheme grading
• Plan all vehicle and trailer maintenance schedule.
• Ensure active monitoring of all planned and required vehicle maintenance.
• Liaise with all suppliers, service providers and all staff to ensure all scheduled and planned vehicle maintenance is communicated to planning and operations team.
• Maintain all records in a systemic and structured filing system – keeping files to digital format were possible.
• Report out to the Logistics Manager on KPI’s and all costings regarding maintenance and fuel
• When required liaise with clients, ATC operations, and field teams to ensure service levels are maintained.
• Document processes and assist in establishing SOPs and process flows
• Uphold highest stands of communication with all internal staff and external suppliers and customers
• Any other duties that may be assigned from time-to-time in line with your skills and competencies.
