Accounts Payable Manager

Oversee all AP ledgers across Brandwatch and Falcon, which will expand to include Cision EMEA entities.  Manage the email inboxes to ensure timely responses and appropriate action by the AP team and ensure month end AP tasks are completed timely and accurately. Collaborate with other departments such as Treasury, Accounting, FP&A and Procurement


What you'll do:
  • Oversee the entire AP team, with 2 direct reports
  • Train and develop the AP team, including setting performance goals and conducting performance reviews Payments
  • Manage the weekly payment calls to review the ledgers and agree what to pay
  • Review and approve payments in the different banks
  • Process payments when required
  • Provide weekly payment projections to the Treasury team and Accounting Manager for Group cash flow reporting
  • Perform a routine audit of vendor account details saved in the bank to ensure they are correct and updated when required

Management of Expensify
  • Be one of the administrators in the staff expenses tool, Expensify
  • Manage the relationship with our Expensify Account Manager
  • Management of credit cards
  • Hold credit card information and make ad hoc credit card payments as required
  • Be the main point of contact for credit card queries
  • Download credit card statements on a monthly basis
  • Perform monthly credit card reconciliations to ensure completeness

General Ledger
  • Perform AP Aging reconciliations on a monthly basis
  • Review the AP Aging reports and post journals when required
  • Assist the AP Team when posting payments, including through Advanced Intercompany Journals
  • Be the main point of contact for accrual queries from the Accounting and FP&A teams
  • Attend the month end calls to provide a status update on AP matters

Audit
  • Be the auditor's main point of contact for AP audit queries
  • Basware
  • Manage Basware and escalate any system performance issues to the IT Team
  • Review and update the Delegation of Authority matrix on a timely basis for starters, leavers and department changes

Other
  • Collate 1099s throughout the year and report them to the IRS annually
  • Calculate the UK PSA and report it to HMRC annually
  • Provide support and detail to the Tax team when required
  • Provide T&E and spend reports to Heads of Departments when required
  • Demonstrate a good understanding of VAT rules across EMEA

Payroll
  • Liaise with the Payroll team to maintain a payroll timeline
  • Ensure payroll and tax payments are processed on time and accurately
  • Review and approve payroll payments in the bank
  • Ensure employee bank details are correct and updated when required

Project Work
  • Be the main point of contact for any AP projects that take place
Current examples:
  • Basware - ensure DoA correct
  • NetSuite - ensure default coding is up to date
  • NetSuite - ensure vendor and employee banking info is up to date
  • Banking - create EFT files and payment links between BoA and NetSuite
  • Credit Cards - review transactions to asses whether spend is required, who approves, coding, can it be moved to AP invoicing
  • Concur - migrate from Expensify


What you will have:
  • Experience working in Accounts Payable
  • Experience and familiarity with accounts and the general ledger, i.e. postings journals and performing reconciliations
  • Knowledge of Netsuite and Basware is preferred, but not essential
  • Organisation and time management skills
  • Attention to detail
