The Client Service Associate serves as a key player in driving team initiatives, internal and external correspondence, and maintaining exceptional client relationships. The Advisor is looking for someone who is adaptable and can handle changing priorities, comfortable using a variety of technology platforms, who enjoys client service, and is highly organized.
Key responsibilities include assisting the advisor with administrative support, scheduling, completion of forms, and collaboration with internal departments.
Duties and Responsibilities
- Act as a direct liaison between Financial Advisor and clients
- Handle incoming calls in a friendly and professional manner
- Completing and updating client records
- Work directly with the Director of Client Services and Administration to complete the necessary processes for various types of services requests on existing accounts
- Assist with file prep, paper filing, and incoming mail
- Assist with retrieving and pre-filling paperwork needed to complete the account opening and funding process for various account types
- Scan and upload required documents and ensure the documents are clearly visible and ready for submission
- Accurately complete, submit, and follow up on status of submitted service requests
- Assist with the follow-up on submitted business until issued and funded
- Proactively manage internal platforms and systems to create and ensure client information is up to date and accurate
- Confirm withdrawals are sent to clients
- Provide ad hoc support on assigned projects and any escalations
Qualifications
- 1+ years of administrative experience in the financial services industry
- Exceptionally professional and organized
- Communicate with clients in such a manner as to benefit the professional reputation of the company
- Extremely detail-oriented
- Comfortable in a fast-paced environment
- Proactive and a fast-learner
- Client-first attitude
- Ability to use discretion and maintain client confidentiality
- Proficiency in Microsoft Office & Adobe Software
- Experience in Salesforce is a plus
- Life, Accident, and Health License is a plus
- Understanding of FINRA Registrations is a plus
This role is directly hired by Family Financial Management Group, LLC.
