Role Overview

The Programme Coordinator role is responsible for supporting their team in the management of key partner programs and delivering a programme of work. The Programme Coordinator will utilise key methodologies, and will support and monitor Programme review, forecasting and reporting against plan. This role is responsible for concurrently supporting programmes of work at differing stages in the Programme lifecycle and will need to manage their time and priorities effectively.

Role Responsibilities

The Programme Coordinator is responsible for (but not limited to):

  • Actively supporting the Programme in the execution of their responsibilities.
  • Maintaining the Partner Alliance schedule, resource schedule, risk register, issues register, and Programme change controls
  • Understanding the Partner Alliance program of work and clearly articulating roles, goals, and timelines.
  • Coordinating the delivery of reporting and ensuring Partner Alliance programme documents are complete, current, and stored appropriately.
  • Adhering to Datacom’s change management processes.
  • Accurately employing the Partner Alliance team’s methodology, processes, tools and documentation standards.
  • Facilitating meeting arrangements preparing agenda, minutes, and action lists. Liaising with third parties and partners where required.
  • Establishing responsible deadlines and personal work plans and manages time effectively.
  • Assisting with other administrative Programme activities to assure delivery of the Programme.
  • Ensuring the required financial management practices are adhered to by the project community.
  • Supporting the operations and effective achievement of objectives.
  • Ensuring budgets and schedules meet requirements.
  • Accurately preparing written business correspondence that is coherent, grammatically correct, effective, and professional.
  • Keeping team and management well informed of changes within the organisation. Effectively communicating relevant information to managers and peers in the business unit. Resolving and/or escalating issues in a timely fashion.
  • Tactfully communicating difficult and\or sensitive information.
  • Communicating with Programme Managers, General Managers, Associate Directors, suppliers, staff and/or contractors.
  • Assisting with business proposals and presentations to both existing and new stakeholders.
  • Possessing a general understanding of our service offerings, capability development programs, products and organisational change plans.
  • Ensuring KPIs are met which include but are not limited to timesheets are accurate and submitted / approved on time, all Open-Air project is accurate and maintained., customer sentiment data is tracked and managed, and benefit delivery and realisation data is tracked, managed and communicated to relevant stakeholders.

Knowledge

  • Sound understanding and application of programme management
  • A general understanding of the service offerings, capability development programs, products and organisational change plans.

 

Experience

  • 2+ years of experience in Information Technology or Business Sector
  • Experience as a successful Analyst or co-ordinator is essential for this role.

 

Skills

  • Sound application and strong skills with Microsoft Office tools particularly Excel, Word, PowerPoint, and Project.
  • Ability to create the PowerPoint presentation backbone/slides for Reporting and presentation.
  • Ability to note Minutes of meetings during Sessions and meeting and to capture important details.
  • Ability to gather information to build Newsletters that will be shared to shareholders and Partners
  • Ability to influence and develop productive relationships with industry providers, stakeholders, and key users.
  • Proven co-ordination skills.
