Executive Assistant to the President, CNE
The executive assistant to the President of Conde Nast Entertainment provides high-level, confidential administrative support to the office of the President. As the first interaction with the office of the president, this individual must be professional, organized and represent the President in a courteous demeanor. This position is often privy to privileged information and as such, requires diplomacy and discretion.
This role requires a team player with producorial flair - serving as the central hub for the CNE leadership team, who can balance high-volume and time sensitive information, and manage multiple action items and demands on the President's time with ease and grace. The ideal candidate is one who is willing to go above and beyond to proactively anticipate the needs of the President, managing changing calendar commitments, balancing work and personal engagements and seamlessly coordinating global travel and business entertaining.
Executive Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office. The President is seeking a candidate with extreme attention to detail, and an ability to effectively communicate in person and via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Duties may be clerical, administrative and project-based and include managing calendars, scheduling travel, coordinating meetings, handling information requests, preparing reports and correspondence and liaising with the executive leadership team and board members. In addition, the President would like for the EA to craft team communications, translate written documents and notes into decks/docs, and plan events for the team within the budget requirements established by the President and her Finance lead. The role requires someone who can maintain composure in a fast-paced setting, juggling a high number of internal and external requests and prioritizing appropriately.
The President is looking for someone with ambitions to be in the media industry – a keen understanding of the business and an interest in learning and shaping the future of entertainment. Someone who engages and has taste in culture – cares about the stories that we tell, and also tracks trends across fashion, food, travel, entertainment, influencers and beyond.
A commitment to the President is necessary, with the overall goal of exceeding expectations in this role for career growth. An understanding of the finesse, style and skill required to maintain the office of the President, and a commitment to being both a team member and an active leader in setting the agenda for the President. Someone who understands the work and personal requirements of the President and will help facilitate both to maximize the President’s time. A desire to understand the people and meetings, the ideal candidate can help prioritize the President’s calendar and anticipate how changes in schedule will impact future scheduling/planning. Experience supporting C – level executives is a plus.
This is an on-site position at our 1 World Trade Center offices in NYC.
Primary Responsibilities:
Act as the first interaction to the office of the President, in-person and virtually, including greeting and assisting visitors, maintaining professional communication across email and phone, providing leadership to other assistants that support the division, and bringing that extra-touch to make all engagements with the President appear thoughtful and well-planned
Proactive calendar management, providing real-time scheduling support and preventing conflicts.
A self-starter with an ability to navigate complex organization structure, constantly meeting people across the company that help you solve problems, source answers and anticipate needs without requiring support of the President
Facilitating all meetings so they are seamless - including requesting agenda items from meeting attendees, sharing agenda ahead of the meeting, arranging virtual and in-person meetings, setting up meetings and presentations, managing participants/timing of the meeting and taking notes in meetings as needed
Collaborating with Executive Assistants across the organization to plan high-level leadership meetings, balancing the needs of the Presidents calendars with other leadership members across the organization
Manage department distribution lists across a variety of curated groups that makes communication more efficient
Draft President communications to CNE and others, including suggested copy and distribution lists
General office tasks, such as preparing and printing reports, presentations and notes, setting up for meeting rooms, and reordering department supplies
Coordinating in-person meetings at desirable locations in NYC and in other markets as travel requires. Keeping an updated rolodex of interesting and thoughtful restaurants and locations for business meetings and entertainment. In addition, keeping a thoughtful eye on gifting and special touches that can come from the office of the President
Ensuring seamless, elevated and planful travel experience for the President by making domestic and international travel arrangements (booking flights, cars, hotel and restaurant reservations). Asking questions at the on-set for planning with a strategic prompts that help shape the travel experience
Screening phone calls and routing callers to the appropriate party
Planning and coordinating quarterly CNE Town Halls, CNE Leadership Off-Sites, and other division meetings and team social activities (onsite and offsite)
Plan meetings and events for the team against the budget requirements established by the President and her Finance lead
Process and manage expenses

Experience with international travel required
Extremely computer savvy. Proficiency with Google suite products (Gmail, Docs, Sheets, etc.) is strongly preferred.
Strong writing and verbal communication skills
The expected base salary range for this position is from $90,000 - $130,000. Salary offers are based on a wide range of factors including but not limited to relevant skills, training, experience, and education.
