We’re seeking a proactive, organized, and detail-oriented Executive Assistant & Project Coordinator to support our team and drive key company initiatives at our rapidly growing AI startup in Boulder, CO. In this role, you’ll split your time between executive support and project management responsibilities, providing critical administrative assistance while playing a hands-on role in planning and executing projects such as community events and marketing campaigns.
This is an excellent opportunity for someone who wants to learn about generative AI and startups, work closely with founders, and directly contribute to high-impact projects for the business.
Act as a trusted point of contact between executives and internal/external stakeholders. Maintain high confidence and confidentiality at all times.
Manage and maintain founder schedules, coordinate and book travel arrangements, process and track expenses, etc.
Prepare meeting agendas, take notes, and follow up on action items to ensure accountability.
Lead the planning and execution of important projects, including community events, marketing campaigns, and product launches.
Coordinate timelines, resources (including budgets), and stakeholders to ensure smooth, on-time delivery of projects.
Track status and progress consistently, maintain up-to-date documentation, and proactively communicate updates and milestones to relevant teams.
Identify areas for process improvement or other improvements across the company, implement new tools and workflows, and continually refine our documentation and project management practices.
Occasionally travel or participate in evening events as needed to support successful project execution.
2+ years of experience in executive assistance, project management, event coordination, or similar roles.
Exceptional organizational skills with high attention to detail.
Excellent communication (written and verbal) and interpersonal skills, capable of effectively interacting with executives and team members.
Comfortable learning new tools, technologies, and processes independently.
Thrives in fast-paced startup environments, handling multiple projects simultaneously.
Flexible and willing to occasionally travel or work evening hours for events.
Prior experience in a startup or high-growth environment.
Familiarity with project management and productivity tools (e.g., ChatGPT or Claude, Asana or Linear, Notion, Slack, Google Workspace).
Proven ability to streamline processes and improve operational efficiencies.
