Executive Assistant

The Executive Assistant provides comprehensive administrative support to the COO, ensuring the effective use of their time and productive interactions. This role involves managing complex schedules, preparing meeting materials, organizing travel, and handling sensitive information. The Executive Assistant must be proactive, detail-oriented and must act with discretion, initiative and clear communication. This is a full-time position with hybrid and on-site opportunities available. This position is filling in for the Executive Assistant to the COO while they are on leave. The position will be reassigned to another executive upon their return.


Responsibilities:
  • Proactively managing the COO’s large and ever-changing calendars, ensuring accuracy and prioritizing urgent needs
  • Maintaining constant, responsive communication with the COO across multiple platforms (Slack, phone, texts, email etc.)
  • Anticipating upcoming changes to executive schedules and making last-minute adjustments while maintaining an open line of communication
  • Preparing meeting agendas, presentations and materials for executive meetings
  • Taking clear and concise meeting notes and following up on action items in a timely manner
  • Facilitating communication across teams, ensuring key stakeholders are informed
  • Coordinating complex travel arrangements and itineraries
  • Assisting in executive-level project planning and execution
  • Anticipating challenges and proactively finding solutions
  • Adapting quickly to changing priorities and tasks
  • Fostering positive relationships within the organization and with external stakeholders


Requirements:
  • Associate or bachelor’s degree is preferred, but not required
  • Minimum 5 years of progressively complex administrative support
  • Effective and proactive communication skills, both verbal and written
  • Exceptional attention to detail
  • Ability to solve problems creatively and resourcefully
  • Must demonstrate reliability, dependability and trustworthiness in all aspects of work
  • Must demonstrate a strong sense of accountability and a genuine desire to assist others
  • Ability to complete tasks independently and in a timely manner
  • Must have the confidence to take on new challenges and step outside of your comfort zone to drive personal and professional growth
  • Strong ability to handle confidential material with the utmost discretion


$65,000 - $80,000 a year
Pay
Based on the Sacramento region, the new hires minimum and maximum target salary for this role is $65k - $80k. This role will be paid hourly.

Inductive Automation’s ranges are market-driven and set to allow for flexibility. Although it is not typical for an individual to start at the top end of the range for the position, compensation decisions are dependent on: the facts and circumstances of each case, work location, job-related skills, experience, relevant education or training; and other business and organizational needs.
