Whether you’ve got deep experience in commercial real estate, skilled trades or technology, or you’re looking to apply your relevant experience to a new industry, join our team as we help shape a brighter way forward.The Facilities Support role will be responsible for front desk reception ensuring compliance to established business processes related to Corporate Real Estate and Facilities, assisting the Facility Manager/Facility Coordinator and the Head of Corporate Real Estate with the delivery of quality facility management services for Airbus Americas, Inc. Headquarters.Duties:Front Desk / Reception• Greet/ host/ provide support for guests, visitors and employees• Answer all in-coming calls• Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.• Point of contact for all packages/deliveries• Pick-up, drop-off, prepare postage/labels for mail/UPS/FedEx, courier services, etc.• Update phone lists• Respond and follow through to requests for information and communicate with all levels of management with minimal supervision• Maintain office security by following safety procedures and controlling access via the reception desk.Facility Support/General Office Duties• Housekeeping Duties (i.e.: pick up and display newspapers, load/unload dishwasher, coffee machine maintenance, etc.)• Maintain all conference rooms for cleanliness / reserve conference rooms• Coordinate shared services for conference rooms within responsible area• Assists with the coordination and scheduling of office/building maintenance activities• Assist with administrative projects, such as invoice processing, PO creation, tracking of insurance information• Assist with submitting work order requests on behalf of building occupants, including follow-up and coordination of repairs• Assist in event coordination for Facilities-related events. E.g. team lunches, birthday celebrations, and other social functions, etc.• Serve as the primary point of contact for off-site file storage requests, ensuring files to be sent off-site are properly labelled• Assist with workspace and conference room reservations, managing the check-in process and curtailing reservations when appropriate• Assist with printing, scanning, forwarding, and other document management duties as assigned• Contribute to special projects or assist with ad hoc tasks as assigned, providing support to various departments or teams within the organization• Other duties as assigned.Invoice Processing• Ensure timely receipt of vendor invoices via dedicated mailbox or vendor website• Submit invoices for approval through proper management chanel• Document status of all invoices received• Contact vendors when questions arise regarding invoices or payment• Assist with the process of researching and preparing procurement proposals for Facilities-related purchases. I.e., identifying best products, summarizing user reviews, and proposing purchases within the limits of an operating budget.Education/training• High School Graduate• Preferred: Associate's Degree or combination of education and experienceYears of relevant experience• Minimum of 1 year industry experience required either in the corporate environment, third party service provider or as a consultant• Preferred: 2+ years of industry experience either in the corporate environment, third party service provider or as a consultantSkills and knowledge• Strong ability to listen and communicate effectively (verbal and written)• Outstanding organizational and time management skills• Strong interpersonal skills• Strong finance and budget skills• Proficient using common business applications (Google G-Suite, Corrigo CMMS)• Outstanding Internal and External customer service skills.Physical work requirements and work conditions• Office environment.
