School Support Operations Manager

Position Summary

The Operations Manager will report to the Director of School Support Operations and play an integral role in supporting several district teams across the division, including Systemwide Programming, McKinney-Vento, Local Education Agency (LEA) coordination and School Support. The Operations Manager will be charged with supporting the teams through general business administration, coordination, and administrative data management and reporting. These tasks may be completed with tracking contracts, memorandums of understanding, and procurement logistics including by not limited to quotes, invoices, requisitions, and purchase orders. The Operations Manager will also provide additional capacity to the team, when needed, to plan and prepare for meetings, convenings, trainings, or other special events. 


Essential Duties and Responsibilities
  • Provides regular oversight of all action-items related to procurement in the district’s MUNIS database;
  • Monitors and maintains status of Requisitions and Purchase Orders to ensure timely resolution and communication of potential problems;
  • Maintain all departmental grant business administration to ensure compliance, including the creation of financial and programmatic reports for both internal and external partners;
  • Maintains department and school files including requisitions, purchase orders, bids, quotes, and other correspondences;
  • Provides periodic reporting related to the purchasing function;
  • Maintains appropriate records/files for internal and external audits; maintains purchase order files in audit ready condition;
  • Manages regular communication with departments across the organization (Administrative Office, Legal, Finance, Human Resources, Purchasing, Exceptional Children’s Services, etc.) to ensure that all contracts and purchases move swiftly through the appropriate processes;
  • Supports grant applications for the department;
  • Support the work of several district teams across the division;
  • Provides additional capacity across all division teams and their functions, during peak times of the year;
  • Manage NOLA-PS Charter School Newsletter;
  • Perform other duties as required.


Education and Experience
  • Bachelor’s degree in Business Administration, Accounting, or related field plus two years of progressively responsible experience in the purchasing or procurement areas of a large public or private agency, preferably in education. Experience may be substituted for education on a year-to-year basis;
  • Minimum of 5 years of professional experience required;


Other Knowledge, Skills or Abilities Required
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers;
  • Basic computer and office software proficiency (MS Office – Word, Excel and Outlook);
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service;
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices;
  • Exceptional ability to build relationships with internal and external stakeholders;
  • Excellent organizational, planning, and multitasking skills;
  • Excellent information-gathering and monitoring skills;
  • Strong interpersonal communication skills, including the ability to work cooperatively and courteously with others and communicate with a variety of personalities in a tactful, pleasant, and professional manner;
  • Ability to work well under pressure, while projecting high motivation, maintaining strict confidentiality, and handling sensitive information with tact and diplomacy. Ability to follow-up/follow-through on assignments is essential;
  • Attention to detail and accuracy.


$50,400 - $78,735 a year

Salaries are determined by educational background and/or relevant years of experience.

- Required to use motor coordination with finger dexterity (such as keyboarding, machine operation, etc.) part of the workday; 

- Required to exert physical effort in handling objects more than 30 pounds rarely; 

- Required to be exposed to physical occupational risks (such as cuts, burns, exposure to toxic chemicals) rarely; 

- Required to be exposed to physical environment which involves dirt, odors, noise, weather extremes or similar elements rarely; 

- Normal setting for this job is an office/school setting.     


Performance Evaluation

The employee will be evaluated based on the above position using either two methods: via COMPASS or a NOLA-PS evaluating instrument. If the employee holds an Educational Leadership certification, he/she will be evaluated via COMPASS to ensure renewal of certification.
