Job Description:
The Corporate Services team is dedicated to customer service and hospitality by providing all employees and clients with an exceptional overall experience from the moment they enter a Dimensional building. The Business Services Associate will be responsible for answering and routing calls coming into Dimensional’s main line switchboards. The Associate position will also support day-to-day office administration tasks and departmental projects. Schedule will include a set schedule of early or late hours to help support other offices in the US.
DUTIES & RESPONSIBILITIES
Manage a heavy volume of incoming telephone inquiries and field calls appropriately using a web-based call management software.
Identify customers’ needs, clarify information, and correspond with appropriate internal party whilst following all communication procedures, policies, and guidelines.
Work with other departments via phone, email and office messenger to ensure proper information is communicated to or about our clients, guests and employees.
Maintain a high level of confidentiality and privacy around providing company information to external callers.
Ability to maintain a calm, warm, and friendly demeanor during all phone interactions, especially through challenging interactions.
Efficient organization and prioritization skills to manage multiple calls and requests in the most ideal order.
Willingness to learn and understand terms, verbiage, and technicalities of the Investment industry, which would be related to incoming calls that may be received.
Update call management guidelines on quarterly basis; liaise with other offices to ensure consistency.
Organize and lead a monthly or quarterly (based on need) meeting to update Management on call volume, challenges, ideas, etc.
Monitor department email distribution lists and dispatch emails to appropriate Corporate Services representative.
Ensure employee information is uploaded into company intranet and applications.
Special projects as assigned.
QUALIFICATIONS
REQUIRED
Bachelor's degree preferred.
Excellent verbal and written communication and interpersonal skills.
Strong phone and verbal communication skills along with active listening.
Must be flexible and possess a professional and friendly attitude.
Customer focus and the ability to multi-task, set priorities, and manage time effectively.
Excellent problem-solving skills.
Detail-oriented and organized.
Strong computer skills (Excel, Work, and Outlook) with the ability to learn programs as needed.
Able to work well under pressure.
Professional appearance and demeanor.
