We are looking for a qualified and motivated individual to join our team as a Contracts Assistant. You are highly organised, with strong attention to detail and excellent communication skills. You have experience in administrative roles, ideally within contracts or procurement, and enjoy working in a fast-paced environment where you can support teams to deliver high-quality outcomes.
You are proactive, self-motivated, and able to manage competing priorities effectively. You thrive in collaborative environments but are equally comfortable working independently. Your ability to handle sensitive information with integrity and discretion is second nature.
Our Commercial and Finance Team is a small but dynamic group dedicated to managing the commercial and contractual aspects of TIG. The team includes a Senior Contracts Manager, a Contracts Manager, and a Finance Lead. We work collaboratively, adapting and prioritising to meet the evolving needs of the business.
Despite our size, we are a busy, high-performing team committed to professional development. Our Contracts Managers are MCIPS qualified, and our Finance Team undergo CIMA qualifications. We pride ourselves on being adaptable, supportive, and highly skilled.
As a Contracts Assistant, you will play a key role in supporting the contracts team with administrative tasks, allowing them to focus on more complex contractual matters. You will assist with preparing documentation for new contracts and renewals, support tender documentation, and manage contract-related queries.
Your role will be essential in ensuring efficiency and accuracy across contract management processes, maintaining our contract management database, and supporting internal and external stakeholders with timely and effective service.
Key Responsibilities:
Contract Administration: Assist in managing contract renewals, modifications, and obligations, ensuring all processes are accurately documented.
Quotation Support: Help prepare quotations aligned with customer requirements.
Meeting Coordination: Provide administrative support for Account Management and Contract Review Meetings, including scheduling, minute-taking, and follow-ups.
Documentation Management: Assist in preparing contractual and tender documents, ensuring compliance and completeness.
Database Maintenance: Maintain and update the Contract Management Database with accurate and timely information.
Customer & Internal Support: Respond to routine contract-related queries, escalating more complex issues as appropriate.
Shared Mailbox Management: Monitor and triage emails, ensuring queries are dealt with efficiently.
Business Support: Provide general administrative support, including arranging meetings, booking rooms, preparing agendas and reports, and other ad hoc tasks.

Our Process
Our talent acquisition team will be in touch if you're successful, the team will arrange a short screening call (max 30 minutes) to learn more about you, and what you are looking for and answer any questions you may have. If all goes well, the team will share your profile with the hiring manager for review. Our interview process is tailored to each role but typically the first half of the process is run remotely with a final stage on-site.
For this position, you can expect a two-stage interview process:
1st stage - An informal 30-minute video call with the hiring team to discuss your skills and relevant experience. This is an excellent opportunity to learn more about the role and ask any questions.
2nd Stage – A 60-90-minute formal interview where you can anticipate competency and technical questions.
