Executive Assistant - TX

Job Summary:

The Executive Assistant to the CEO is responsible for providing high-level administrative, logistical, and strategic support to the Chief Executive Officer. This role ensures the efficient management of the CEO's office, facilitates communication between the executive team, Investors, and strategic stakeholders, and upholds the seamless execution of corporate objectives within the leadership structure of the restaurant group.

Essential Duties and Responsibilities:

  • Administrative and Executive Support:
    • Efficiently manage and coordinate the CEO's agenda, including scheduling meetings, appointments, and corporate engagements.
    • One of the key responsibilities of the Executive Assistant will be to maintain an accurate and organized expense control system. She will also be responsible for delivering financial information to our accounting firm, which will use the data to conduct their financial and accounting analyses and prepare reports.
    • Organize and oversee operational meetings, strategic planning sessions, and corporate events.
    • Ensure timely follow-up on action items, decisions, and commitments made by the CEO with executive team members and external stakeholders.
    • Prepare Meetings with the Board, meeting minutes, presentations, and briefing materials for internal and external audiences.
    • Arrange complex travel itineraries, including flights, accommodation, and expense reports, ensuring a smooth travel experience.
  • Communication and Liaison Duties:
    • Act as a primary point of contact and communication for the CEO, filtering and prioritizing internal and external correspondence with discretion and professionalism.
    • Coordinate and facilitate communication with key departments, including Operations, Finance, Procurement, Human Resources, and Marketing, ensuring the accurate and timely exchange of information.
    • Foster and maintain professional relationships with business partners, franchise owners, key vendors, and institutional representatives.
  • Confidentiality and Information Management:
    • Handle sensitive and highly confidential information related to corporate strategy, franchise agreements, and executive decision-making processes.
    • Maintain and safeguard legal documentation, franchise contracts, and critical financial reports.
  • Strategic Support:
    • Assist in monitoring and reporting on key performance indicators (KPIs) for the restaurant group.
    • Collaborate with the CEO and senior leadership team in the development and implementation of strategic initiatives.

Knowledge, Skills, and Abilities

  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) at an advanced level.
  • Familiarity with Customer Relationship Management (CRM) software and administrative management systems is advantageous.
  • Strong writing skills for drafting official documents, contracts, and meeting minutes.
  • Intermediate to advanced English proficiency is preferred, particularly for communication with international franchise partners and vendors.
  • Exceptional organizational and planning abilities
  • Strong verbal and written communication skills and Bilingual (Spanish/English)

Education & Experience

  • Bachelor's degree in Business Administration, Public Relations, Communications, Executive Assistance, or a related field.
  • Minimum of 3 to 5 years of experience as an Executive Assistant supporting C-level executives, preferably within the restaurant, hospitality, or service industries.
  • Proven track record in managing complex executive calendars and coordinating cross-functional teams.
  • Experience in liaising with franchise partners, suppliers, and corporate clients is highly desirable.
