Job Description

The Reserve Budget Analyst supports the Development Finance Manager in planning and reporting Reserve project spending for Westgate Resorts. The ideal candidate will work collaboratively across departments, serving as a key liaison between Development Project Managers, Contract Administration, General Managers, resort-based Operations leaders, and Resort Accounting. This role is critical for maintaining accurate financial reporting and supporting budget and forecast assumptions throughout the Reserve project life cycle, from project setup to long-term budget planning and property replacement needs.

The Reserve Budget Analyst is responsible for supporting regular cash flow planning for HOA Reserve spending. Month-end responsibilities for this role include preparing HOA Reserve account reconciliations, journal entries, and project reclassification entries. Additionally, the Reserve Budget Analyst maintains each property’s Reserve Database of HOA-owned assets, replacement costs, and timelines to support the Long-Range Plan and annual HOA budget process.

The Reserve Budget Analyst provides the highest level of customer service while offering financial support for Reserve projects at resort locations across the organization. In a fast-paced environment with high visibility, the candidate must project a professional corporate image through interactions with partners at all levels and be able to work effectively under pressure.

Responsibilities:

  • Provide budgeting, reporting, and analysis for HOA reserve funds.
  • Assist the manager with the monthly close process, including preparation of journal entries (e.g., expense transfers) and HOA Reserve account reconciliations between the general ledger and subledger.
  • Update the Reserve Plan for all properties (both property-specific and company-wide Master) as new project initiatives are approved.
  • Review and approve Reserve project budget requests, ensuring requests are completed correctly for executive approval, align with the Annual Reserve Plan, and meet corporate policy requirements.
  • Support the monthly cash flow forecast process for Reserve capital projects; track project spending vs. the yearly Reserve Plan to monitor progress and address potential over- or underspending for the year.
  • Partner with resort General Managers, Property Controllers, and other Operations leaders to identify and track property needs, maximizing initiatives within the yearly budget.
  • Participate in annual budgeting and periodic forecasting of Reserve capital spending with related variance analysis.
  • Maintain each property’s Reserve Database/Study, updating both costs and estimated replacement dates as initiatives are completed.
  • Serve as a key point of contact for on-property accounting staff and resort operators, effectively coordinating HOA Reserve spending while providing training and support on new processes.
  • Identify opportunities for process improvement within Development Finance.
  • Work with the Systems support team to maintain continuity during upgrades and implementations and enhance functionality within the Projects modules.
  • Support departmental deliverables related to interim and year-end audits.
  • Ensure adherence to departmental policies, procedures, and practices.
  • Assume other duties and responsibilities as required or assigned by management.
  • Comply with all CFI policies and procedures.
  • Represent Westgate Resorts in a professional manner through appearance, dress, and behavior at all times, as outlined in the Associate's Handbook.
  • Work diligently to gain knowledge and experience to perform the role to its full potential.
  • Perform other duties as assigned by leadership.

Qualifications

Qualifications

  • Bachelor’s degree in finance or accounting
  • Hospitality industry experience preferred
  • Experience in Oracle Fusion or a similar ERP preferred
  • Proficient in Microsoft Office products
  • F&A experience with financial project management is a plus
  • Project controller experience is a plus
  • Strong ability to develop partnerships with internal clients and others
  • Excellent interpersonal and communication skills
  • Ability to organize and prioritize work
  • Ability to work in a team to achieve departmental and corporate goals
  • Adaptable to a fast-paced environment
  • Self-starter who actively seeks opportunities for process improvement
