The Benefits Manager oversees day-to-day benefits operations, ensuring seamless delivery of programs while supporting compliance and employee engagement. This role manages the Benefits and Leave Specialists and serves as the HIPAA Privacy Officer.



JOB DUTIES AND RESPONSIBILITIES

·       Manage the Benefits and Leave Specialists, providing guidance and oversight for daily activities and programs.

·       Act as the organization’s HIPAA Privacy Officer, ensuring compliance with privacy regulations.

·       Partner with benefit providers to address issues and support program optimization.

·       Develop, implement, and distribute policies, procedures, and communications related to employee benefits.

·       Perform quality checks on benefits data to ensure accuracy and integrity.

·       Lead key programs, including PTO Exchange, Cash-Out initiatives, and Open Enrollment.

·       Support payroll activities, including 401(k) deferral management and resolution of discrepancies.

·       Produce engaging benefits communication materials, such as the Benefits Guide, recruiting slicks, and monthly newsletters.

·       Manage specialized programs, such as the Family Building Reimbursement Program, and oversee ACA 1095-C compliance.

·       Facilitate benefit training initiatives for employees and managers to promote understanding and engagement with benefits offerings.

·       Monitor and reconcile vendor invoices and claims tracking reports to maintain financial accuracy.


SUPERVISORY DUTIES

·       Supervise and manage the day-to-day performance of the Benefits and Leave Specialists, ensuring efficient and accurate execution of all benefits-related tasks. Provide training, guidance, and mentorship to team members to enhance their professional development, build expertise, and foster a collaborative and supportive work environment. Set clear performance expectations and goals aligned with organizational objectives, conducting regular check-ins and performance evaluations to track progress and address areas for improvement. Promote a culture of continuous learning by encouraging team members to stay updated on benefits trends, compliance regulations, and best practices. Serve as a point of escalation for complex benefits issues, providing strategic solutions and empowering team members to resolve challenges effectively. Ensure team compliance with internal policies, external regulations, and legal requirements, maintaining high standards of accountability and integrity. Collaborate with other departments to align team efforts with the organization’s broader goals and initiatives, ensuring seamless integration of benefits processes into overall business operations. Actively contribute to creating a positive employee experience by supporting team efforts that directly impact employee satisfaction, retention, and organizational success.

Required Skills

·       Extensive knowledge of employee benefits and applicable laws.

·       Maintain current knowledge of EEO and Affirmative Action (AA) guidelines and laws, such as the Americans with Disabilities Act (ADA).

·       Excellent written and verbal communication skills.

·       Excellent organizational and time management skills.

·       Proficient with Microsoft Office Suite; experience with UKG and Monday.com preferred.

·       Strong attention to detail and thoroughness in completing work tasks.

·       Extensive work-related expertise, knowledge, or experience required to perform effectively in this role.

·       Analytical skills to address work-related issues and problems effectively.

·       Demonstrates reliability, responsibility, and a cooperative attitude.

     


WORKING CONDITIONS

Environmental Conditions

·       Working Conditions: The position primarily operates in a professional office environment with a standard workweek schedule. Regular use of office equipment, including computers, phones, and printers. May involve occasional exposure to tight deadlines or high-pressure situations, especially during Open Enrollment and compliance deadlines. Work is typically performed indoors with minimal exposure to hazards.

  

·       Physical Demands: Ability to sit for extended periods while working at a computer or attending meetings. Frequent use of hands and fingers to operate a computer keyboard, mouse, and other office tools. Occasionally required to stand, walk, and reach with hands and arms. May need to lift or move objects weighing up to 10 pounds (e.g., binders, equipment).     


·       Special Considerations: Occasional travel may be required to attend conferences, training sessions, or company events. Flexibility to work extended hours during peak periods, such as Open Enrollment, ACA reporting deadlines, or audits. Must be able to manage multiple priorities effectively while maintaining focus and attention to detail in a fast-paced environment.

Strength Demands

·       Sedentary – 10 lbs. Maximum lifting, occasional lift/carry of small articles.  Some occasional walking or standing may be required.   Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
