Business Administrator

Description

As the Business Administrator you will work closely with the location manager providing support and generating customer invoices. These actions will be performed to company standards and will comply with all company policies and procedures, and other state and federal regulations and laws that govern the agriculture industry. 

Requirements

  

1.   Workorder/Invoicing: 

  • Ensure accurate billing information is updated for the accounting department.
  • Manage computer software.
  • Complete/post daily service calls from the prior day, including the posting of time, and parts.
  • Review calls with the manager for accuracy and needed changes before daily posting.
  • Dispatch service calls to techs as needed.
  • Monthly processing of statements to customers on/or around the 1st of the month.
  • Complete sales invoices for customers as needed.
  • Maintaining cleanliness of office area.
  • Open and close store (checking locks) preferred hours 8-5

2. Inventory: 

  • Assist techs with monthly truck inventories.
  • Daily Cycle Counts
  • Assist with quarterly store inventory.
  • Ensure proper inventory control through transfers for parts to jobs, technicians’ trucks as well as sales to the customer.
  • Receive in parts per purchase orders from vendors.
  • Assist walk-in customers with parts.
  • Create and post-sales invoices for parts sales as needed.
  • Create and order parts for customers, techs as needed only after verifying pricing and appropriate vendors to purchase from.

  

Other Responsibilities:

  • Completes various clean-ups, inventories, administrative, and other duties as assigned or as necessary. 

Organizational Responsibilities:

  • Identifies areas for improvement and offers suggestions to improve the efficiency, productivity, and profitability of the company.
  • Keep up to date on new trends and changes in the industry and area(s) of responsibility by attending internal and external training classes, and other events, and accessing other information sources.

Required Qualifications:

  • Demonstrated the ability to read, write, and communicate effectively to comprehend and complete required documents, answer customer questions and provide management support.
  • Exceptional customer service skills.
  • Sense of urgency, organizational skills, professional presence, and work in a team environment.
  • Ability to represent the company in a dependable and professional manner.
  • Ability to work independently with little supervision.
  • Maintain a positive open mind. Willingness to learn and grow.  
  • High School diploma, GED, or an employment history that demonstrates the required skills needed for the job. 

Preferred Qualifications:

  • Proficient in Word and Excel.
  • Previous data entry experience.
  • Business Central and Power BI experience.

Physical Demands:

  • Must be able to pass a physical agility test.
  • Must be able to pass a background and drug test.
  • Applicant must be able to stand, walk, and/or sit for extended periods of time.
  • Applicant must be able to push, pull, lift, carry, or maneuver weights of up to fifty (50) pounds independently and one hundred (100) pounds with assistance.
  • Routine local travel and some distance travel may be required and necessary for the accomplishment of some or all of the daily responsibilities of this position.

Working Conditions:

  • Applicant will work inside at office or warehouse where temperatures may vary between 50 to 75 degrees.
