What You’ll Be Doing:

As an Office Coordinator, you’ll bring your organizational skills and proactive attitude to:

Keep Our Office Running Smoothly

  • Submit and track work orders.
  • Maintain all office equipment, working with EDS as needed.
  • Manage parking passes, access cards, and security badges.
  • Ensure conference rooms are tidy, stocked, and ready for use.
  • Monitor office spaces to maintain cleanliness and address repairs.
  • Keep office supplies and café essentials fully stocked, including coffee and snacks.
  • Care for office plants to keep our space vibrant and welcoming.
  • Create personalized desk name tags for new employees.

Support the Team Behind the Scenes

  • Assist Executive Assistants (EAs) with administrative tasks.
  • Prepare expense reports for our executive leadership team.
  • Create and edit documents (PowerPoint, Word, Excel, etc.).
  • Oversee FedEx shipping and billing for department needs.

Make Events Memorable

  • Coordinate company-wide events, ensuring everything runs smoothly from planning to execution.
  • Order food and beverages that fit the budget and occasion.
  • Work closely with our remote offices to align event efforts.
  • Collaborate with HR and communications teams to plan creative, themed events for our Minneapolis office and beyond.

  • Consistently maintaining an office space that is welcoming, functional, and well-stocked.
  • High school diploma (associate or bachelor’s degree preferred).
  • Minimum 2-years of related experience.
  • A self-starter with strong organizational and multitasking abilities.
  • Someone who thrives in a fast-paced, team-oriented environment.
  • Excellent communication skills and a solution-focused mindset.
  • Familiarity with office systems and tools like Prism or similar platforms (preferred).
  • Previous experience in an administrative or office support role is a plus.
