We are seeking a highly organized and proactive Executive Assistant to support our Sales Leadership team based in the United States. As a Executive Assistant, you will play a pivotal role in providing comprehensive administrative support to our sales leadership team and managing key operational tasks. You will be responsible for assisting with calendar management, administrative duties, and coordinating essential company events and meetings. The ideal candidate must exercise excellent judgment, have exceptional communication skills, demonstrate strong customer service and professionalism, and handle numerous projects and a heavy workflow with a high level of accuracy. The successful candidate will have experience supporting senior level executives and be comfortable interacting with other high-level members of the team and external clients in a fast paced, ever-changing environment. 

Must be flexible to work east and west coast hours. This is a 3 month contract role.

Responsibilities: 

  • Efficiently manage and organize complex calendars with multiple time zones and for multiple business leaders, ensuring schedules are optimized and conflicts are minimized. 
  • Act as a liaison between executives and internal/external stakeholders, handling correspondence and communications professionally and promptly.
  • Coordinate and support the planning and execution of company events such as off-sites, team-building activities, company meetings, Quarterly Business Reviews (QBRs), and other necessary events.
  • Assist in various administrative and operational tasks, including documentation, data entry, and report generation as needed.
  • Collaborate with the executive operations team and Executive Assistants (EAs) to streamline processes and ensure seamless support for the Sales Leadership team.
  • Manage travel arrangements and accommodations for leadership, if required.
  • Handle special projects and initiatives as assigned by the sales leadership team.

Requirements:

  • 3+ years of experience as an Executive Assistant.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively in a fast-paced environment.
  • Proficient in calendar management, scheduling tools, and office software (e.g., Microsoft Office, Google Suite, etc.).
  • Strong communication and interpersonal skills, capable of maintaining professionalism and confidentiality in all interactions.
  • Proactive problem-solving abilities and a high attention to detail.
  • Ability to work independently, take initiative, and adapt to changing priorities.
  • Experience in event planning or coordination is a plus.

A reasonable estimate of the salary for this role, at the time of posting, is $7,000 per month. Cato operates from a high place of trust and transparency; we are happy to state the pay range for our open roles to best align with your needs. Exact compensation may vary based on skill set, experience, location, training, and certifications. If your requirements fall outside of this range, you are still welcome to apply.
