About the Role


 We are seeking an experienced, energetic, and creative Executive Assistant to join our Executive Operations team and provide administrative support to our CFO and to our Head of Engineering. The executive operations team at Symmetry is the heart of our company’s business operations and activities and the glue that keeps our organization moving forward. Executive Operations team members anticipate the needs of their leaders and help them stay focused on vital priorities by resolving operational and administrative issues before they arise. They move quickly within the changing environment and are up to date with the latest Symmetry products and services and have a deep passion for the clients we serve. Executive Operations partners also use this knowledge to strategically support their team's projects. In addition to being organized and analytical, they possess the strong business judgment and communication skills needed to interact with a variety of different people and job functions both inside and outside the organization.

 

What you’ll do day-to-day:

 

Executive Assistance


  • In close coordination with the executive team provide critical support including management of the CFO and Head of Engineering’s: 

Meetings: Organize, attend, and facilitate meetings by assisting with the agendas, taking notes, and assigning action items.

  • Calendars: Prioritize and schedule meetings, including the preparation before and the action items associated with each. 
  • Communications: Triage inboxes and help prioritize responses, ensuring fast response time to key stakeholders, and that high-priority tasks are addressed. Assist with expense management and department time-off requests as needed. 
  • Innovation: Establish new—and improve existing—administrative systems and processes.
  • Build and maintain partnerships with other Executive Operations members and teams.
  • Assist with limited personal tasks as requested such as adding school and extra-curricular events to calendars, blocking time appropriately for personal appointments.


Department Operations


  • Assist the Finance (Finance/Business Operations) team with the administration of the company’s corporate credit card, obtaining supporting receipts for recurring transactions, recording transactions, and other various projects as needed.
  • Work closely with the Engineering team on contract management and third-party subscription inventory tracking as well as other projects as needed.
  • Partner with other administrative team members to manage onboarding for new hires within the Finance and Engineering departments.
  • Assist the Finance or Engineering teams with occasional event planning, including assisting with department celebrations, company/team off-sites, internal events, and meetings.

 

Here’s what we’re looking for:


  • 5+ years of VP-level or above administrative business experience
  • Consummate professional:  Maintains a high level of tact, diplomacy, and confidentiality. 
  • Ability and willingness to wear multiple hats: We are a smaller, nimble company which requires the ability to take on tasks outside of your usual duties.
  • Possess a great deal of common sense, independent initiative, flexibility, and problem-solving skills: Savvy problem solving with the ability to see the big picture and “find a way.”
  • Positive attitude and team player who stays calm under pressure: Especially when faced with changing responsibilities and competing priorities.
  • Outstanding organizational skills: Incredibly organized and detail-oriented, able to prioritize multiple assignments.
  • Excellent communication skills: Ability to effectively communicate and collaborate with a diverse range of people and job functions.
  • Proficiency with Google Suite: (Gmail, Calendar, Drive, Docs, Sheets, etc.)
  • Familiary: With DocuSign and a willingness to learn Enterprise systems including Netsuite, Salesforce and others.
  • Willingness to go the extra mile: Independent thinker who thrives on problem-solving. In overwhelming situations, this person knows how to prioritize, delegate, then proactively follow up.
  • Project Management Experience: Ability to serve as a project lead from conception to completion.
  • Culture Builder: A strong instinct for bringing people together and keeping them connected in a hybrid work world.


Our cash compensation amount for this role is targeted at $73,000/yr to $93,000/yr in Scottsdale. Final offer amounts are determined by multiple factors including candidate location, experience and expertise and may vary from the amounts listed above.
