Virtual Administrative Assistant
This role requires a detail-oriented and proactive Virtual Administrative Assistant to support various administrative and operational tasks. The successful candidate will play a crucial role in maintaining task completion efficiency, ensuring customer satisfaction, and supporting interdepartmental coordination, all while working remotely.
- Technical Proficiency: Experience with ticketing systems (preferably Halo) and proficient in Microsoft Office Suite.
- Organizational Skills: Capable of managing multiple tasks with strong prioritization and attention to detail.
- Communication Skills: Excellent verbal and written communication; professional customer interaction.
- Problem-Solving: Proactive issue identification and solution implementation.
- Time Management: Effective deadline management and task execution.
- Other Requirements: Basic bookkeeping knowledge (mandatory), familiarity with QuickBooks Online, and optional WordPress admin experience.
Duties/Tasks to Perform:
- Halo Ticketing Support: Build ticket workflows and generate system performance reports.
- Cross-Department Coordination: Facilitate effective communication across internal teams.
- Scheduling: Organize and coordinate technical staff appointments.
- Procurement Assistance: Manage procurement processes from quoting to billing coordination.
- Meeting Support: Document meeting notes and assign actionable tasks.
- Call Support and Ticket Creation: Assist service and sales teams through call handling and ticket management.
- Billing Reconciliation: Conduct monthly reconciliations for accounts payable and receivable.
- General Administrative Support: Handle other administrative duties as required.
Schedule: Monday to Friday, 8:00 AM – 12:00 PM (Arizona Time)
