Payroll & Benefits Specialist

About the role

As the Payroll & Benefits Specialist, you will own and provide end-to-end management and administration of US payroll, reporting, benefits and beyond! As a member of the People & Culture team, you'll provide first class customer service as you answer payroll related Bubbler inquiries. You will work discreetly with sensitive information as you support day-to-day processes and due diligence including data reporting, analyses, research, communication, special projects, compliance and maintaining the integrity of the HRIS system.


What you'll do:

Benefits & HR Compliance

  • Manage, administer, and advise Bubblers on eligibility for all US benefits through various third-party providers
  • Administer Redbubble Group 401(k) plan and support the Plan Administration Committee to perform fiduciary duties 
  • Be our benefits expert and partner with our brokers to help Bubblers navigate through their options (401(k), vacation, medical insurance, wellness perks, etc) and create benefit communication material as needed 
  • Ensure on an ongoing basis all HRIS benefits configurations are up to date to meet enrollment specifications and vendor feed requirements
  • Manage disability, FMLA, and leave processes with People Partner with attention to continuous process improvement
  • Evaluate the functionalities of our current payroll and benefits systems, conduct market research, make recommendations and support system implementations as required

Payroll

  • End-to-end processing of US payroll for multiple states (CA, TX, NY, OR, MN, CO and NJ) to ensure our Bubblers are paid on time. 
  • Ensure the efficient and accurate payroll processing in alignment with all internal controls, including: semi-monthly payroll, retrospective payments, bonuses, status changes, timesheet verification, new hires, terminations, final checks, special pay adjustments and disbursements, garnishments, amendments and reconciliations
  • Build a solid foundation for the US payroll and improve efficiency by documenting, implementing, maintaining and evolving payroll best practices. consult with the People & Culture team to improve onboarding and HRIS processes
  • Collaborate with Finance function to generate accurate and timely payroll reports, including tax forms, month end reports, and audit reports.
  • Prepare year-end payroll processing, such as W-2 Forms and Form 3291
  • General knowledge of implications with respect to tax reporting on equity (RSU, ISO & NQSO) plans
  • Ensure that Redbubble Inc (US entity) remains up-to-date and compliant on all relevant payroll state registrations and deductions; register with localities/states as agreed with management
  • Maintain and drive process improvements for the operations of systems, programs, and events


About you

  • Ability to work discreetly with sensitive information
  • Strong experience managing end-to-end payroll, reporting and benefits administration across multiple states (California is a must)
  • Customer service focused and interpersonal skills to handle sensitive and confidential situations.
  • Ability to work collaboratively with across teams to resolve complex issues 
  • Detail-oriented, flexible, self-motivated with strong organisational skills
  • Problem solving through critical thinking, collecting data, establishing facts, and drawing valid conclusions
  • Ability to identify, recommend and act on process improvements among responsibilities managed to create efficiencies
  • Bachelor's degree in Business Administration, Accounting, or a related field is preferred
