Operations Coordinator (Part-Time)

The Operations Coordinator assists in the day-to-day operations of the Boston and Springfield Health Centers. This position oversees processes and procedures related to their assigned health center inventory and provides administrative support to the health center management team. They work collaboratively with staff and management to maintain operational systems and processes that contribute to a productive and compliant health center.


This position is part-time, 15 hours a week. On-site work at both the Boston and Springfield Health Centers is required.


Essential Responsibilities
  • Implement operational systems collaboratively with health center staff and continuously seek clinical input and support.
  • Ensure inventory items are appropriately ordered, tracked and stocked within assigned health center(s).
  • Receive deliveries and stock supplies in a timely and organized manner, including administrative areas.
  • Ensure assigned health center(s) is adequately stocked with Personal Protective Equipment (PPE) by actively monitoring supply.
  • In collaboration with the Purchasing department, monitor inventory items for potential issues impacting health center operations, including shortages, backorders and recalls.
  • Provide training to clinic staff on operational systems and processes related to inventory management.
  • In collaboration with Facilities, maintain schedules of all required maintenance, inspections, repairs and certifications as required by state and governmental agencies.
  • Keep Health Center Manager(s) apprised of any facilities or vendor related impact on operations or budget.
  • Conduct monthly and quarterly operational health center audits; provide reports and recommend corrective actions to Health Center Manager(s) and clinical leadership as appropriate.
  • Responsible for timely processing of relevant invoices, bills and receivables.
  • Provide administrative support to the health center management team as needed.
  • In conjunction with the health center management team, facilitate implementation of new programs, services and systems at assigned health center(s).
  • Participate in PPLM’s efforts to achieve goals for productivity.
  • Other tasks and responsibilities as needed.


Qualifications
  • HS Diploma required; BA/BS preferred
  • 1-3 years of relevant experience
  • Experience with project management preferred
  • Experience with facilities, cash-handling and/or retail, and vendor-management preferred.
  • Must be highly organized and possess strong communication and problem-solving skills.
  • Must be able to manage time and multitask/prioritize projects and tasks effectively.
  • Excellentinterpersonalandcommunicationskillsandattentiontodetail.
  • Must be able to lift loads up to 30 lbs. in weight.
  • Must have sufficient stamina to move efficiently throughout the clinic to meet functional requirements of the position.
  • Must be able to bend and reach to stock inventory and supplies for procedure/exam rooms.
  • Must have oral, auditory and visual ability to ensure solid communication and ability to respond to a variety of situations efficiently and effectively.
  • Must be available to receive calls related to the health center during instances where the Health Center Manager is not available.
  • Shift/schedule requirements may include some evening and Saturday hours on occasion.
  • Ability to relate to individuals of varying backgrounds and ages in a non-judgmental yet empathetic manner.

Roles that are denoted as Hybrid require 1 day per week in the office unless the role is denoted as onsite, which requires working onsite full time or 5 days per week.
