As the new Executive Assistant, you will support Taktile’s senior leadership team across our New York, Berlin, and London offices. In this position, you will collaborate with different departments globally and act as a key liaison.
This role reports directly to the CEO and will help set guardrails for our organization to evolve into a well-oiled, high-performing operation. You will also play a pivotal role in cultivating the vibrant and dynamic culture of our new New York office as we scale rapidly in 2025. Success in this role requires attention to detail, a hands-on approach, and an entrepreneurial mindset to bring ideas to life.
Assist the CEO and C-Level in various administrative tasks including:
Scheduling meetings,
Managing calendars,
Organizing travel arrangements and expenses,
Ensuring efficient operations by assisting with certain HR and Ops projects.
Manage the New York office and foster an energetic, growth-driven, and supportive office culture:
Lead the search for our new office, developing the space’s concept and design
Overseeing all office operations, such as supplier communications, office supplies, and maintenance,
Managing hardware equipment from procurement to distribution,
Preparing yearly office budgets and tracking financials,
Enhancing employee perks,
Overseeing company merchandise and gifts for employees, customers, and investors,
Coordinating with third-party vendors, welcoming visitors, and maintaining a professional on-site experience.
Organize company events:
Team and company-wide events, both in-person and remote,
Creating a yearly/bi-yearly event calendar and managing related budgeting and financial tracking.
3+ years of administrative experience in a fast-paced environment, with at least 2 years supporting executives, ideally within a fast-growing IT company, consulting firm, or banking sector. Experience in office operations or hospitality is a plus.
Outstanding organizational, written/verbal communication, and listening skills, plus high attention to detail.
Strong team-player attitude; needs to work well under pressure and be adaptable in the face of changing priorities.
Excellent problem-solving, time-management, and prioritization skills.
Expert with G-Suite (Google Calendar, Gmail, Google docs, Google sheets, etc.)
High degree of discretion and integrity, especially when taking care of confidential information.
Must be willing to work in the office at least 4 days per week.
The base salary range for this full-time position in New York is $110,000-$130,000. Compensation packages at Taktile include base salary, equity, and benefits.
