Purchasing Data Entry Specialist

We are looking for a well-organized and high attention to detail person to support the Director of Procurement and Purchasing Team. The position is based in the Phoenixville, PA facility, and includes a wide range of responsibilities ranging from created purchase orders, receiving, and verifying invoices, running reports and supporting projects in cooperation with employees within and from outside these departments. 

Essential Duties 

The following are among the essential and ongoing tasks and responsibilities of the position: 

  • Creating daily batches of receipt of goods and receipt of invoices. 
  • Review orders acknowledgements/Invoices to verify accuracy, terminology and specifications and expedite as needed. 
  • Assist in the preparation and updating scheduled due dates. 
  • Attention to detail and high level of accuracy. 
  • Strong documentation skills to capture all requirements. 
  • Problem Solving. 
  • Data entry 
  • Such other duties and tasks as may be assigned from time to time. 
  • Filing daily reports. 

 

Position Requirements 

  • Proficiency in MS Office, particularly MS Excel, working with spreadsheets; 
  • Troubleshooting and finding a solution to the problems; 
  • Multi-tasking is a must 
  • Interested in learning new tasks; 
  • Excellent time management skills and the ability to prioritize work; 
  • Attention to detail and problem-solving skills; 
  • Monitor incoming shipments for current inventory 
  • Excellent written and verbal communication skills; 
  • Communication with all staff and outside vendors: 
  • Strong organizational skills and an ability to multi-task and work gracefully under the pressure of multiple projects and competing deadlines. 

 

Work Environment 

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. 

This is a sedentary role; however, some filing and computer set up may be required. This would require the ability to lift files, move desktop computers; monitors and printers as well as open filing cabinets and bend or stand, as necessary. 

Position Type/Expected Hours of Work 

This is a full-time position that typically involves 8 hours a day; Monday through Friday, 7:30 am to 4:30 pm with occasional extended work days. 

 

Education and Experience 

Certification/College graduate preferred or High School graduate 

Candidates must have strong written and oral communication skills.
