We are seeking a detail-oriented and analytical Recruiting Coordinator to join our talent acquisition team. In this role, you will play a critical part in optimizing recruitment processes, managing Applicant Tracking System (ATS) operations, and providing actionable insights through detailed reporting and analytics. Your expertise will enhance recruitment operations and provide data-driven insights to support our goals.

We work in a hybrid model – in the office on Monday, Tuesday, and Wednesday with an option to work remotely on Thursday and Friday.

Job Description

Recruitment Operations Support:

  • Open new requisitions and enter candidates into the Applicant Tracking System SmartRecruiters (ATS)
  • Coordinate and schedule interviews, communicate with candidates, and ensure a seamless interview experience.
  • Prepare offer letters, confidentiality agreements, background, and reference checks.
  • Prepare recruiting closeout documentation for new hire transition to Human Resources 
  • Assist in the development and documentation of recruiting processes, workflows, and best practices, supporting our global recruitment teams.

ATS Management:

  • Assist with the configuration, maintenance, and optimization of SmartRecruiters to support end-to-end recruitment workflows.
  • Train team members on ATS functionalities and troubleshoot system issues across the enterprise.
  • Ensure accurate and up-to-date data entry and integrity within the ATS.
  • Help identify areas for improving workflows by gathering feedback and tracking issues.
  • Support the implementation of new tools or updates to existing systems.

Reporting and Analytics:

  • Develop and maintain regular recruitment metrics and dashboards, including time-to-hire, source effectiveness, diversity hiring, and candidate pipeline health.
  • Analyze recruitment data to identify trends, bottlenecks, and opportunities for improvement.
  • Provide data-driven recommendations to improve hiring strategies and align them with business goals.

Administrative Tasks:

  • Maintain calendars for recruitment-related activities, including career fairs or team meetings.
  • Provide administrative support for recruitment initiatives or special projects.
  • Assist with tasks such as posting job openings or updating job descriptions as needed.

Qualifications

  • 2+ years of experience in a recruiting coordinator, analyst, administrative or related role, with a strong emphasis on ATS management and reporting.
  • Experience with administrative functions including extensive scheduling, record maintenance, and clerical tasks.
  • Proficiency with ATS platforms, preferably SmartRecruiters.
  • Advanced Excel, Word and PowerPoint experience and ability to visualize data is required.
  • Strong analytical and problem-solving skills with attention to detail.
  • Meticulous attention to detail and outstanding organizational skills. 
  • Excellent communication and interpersonal skills with ability to work independently.
  • Creativity, curiosity and drive to exceed candidate and client expectations.
  • Flexibility, courage, and confidence are key.
  • Ability to work with grace when juggling several tasks and have an adaptable communication style.
  • Bachelor's degree and/or equivalent work experience preferred.

Pay range: $31.00 – $33.00 per hour. Final compensation will be dependent upon skills & experience.
