Job Purpose
The Accounting and Administrative Assistant will be responsible support our finance and administrative operations. The ideal candidate will manage daily accounting tasks, handle administrative duties, and contribute to the smooth running of the office. This role is perfect for a proactive individual who thrives in a dynamic environment and enjoys multitasking. He/she executes a variety of tasks crucial to the efficient operations of the office including clerical, receptionist and accounting tasks, and takes information to store it, retrieve it, and distribute it
KEY RESPONSIBILITIES
Accounting Duties:
Process accounts payable and receivable, ensuring timely and accurate payments.
Assist in preparing and reconciling financial statements and reports (monthly and yearly closing).
Maintain and update accounting records and files.
Monitor budgets and track expenses against allocations.
Support payroll preparation and ensure compliance with tax regulations.
Petty cash follow-up
Credit and debit advice entries
Assist in VAT filling
Administrative duties:
Manage office supplies and coordinate with vendors for inventory replenishment.
Organize and maintain office records, including filing systems (digital and physical).
Handle correspondence, including emails, phone calls, and mail distribution.
Assist in onboarding new employees and maintaining HR records.
Support event planning and coordination for internal and external meetings.
Provide HR administrative support (holiday planning, work permits, certification, HR data, employees timesheets, etc.)
Prepare specific correspondence, contracts and offers
Answer the phone, take messages, welcome visitors
SPECIFIC ATTRIBUTION
The Accounting and Administrative Assistant, according to his own specific area of competence, can be also called to participate in the Management meetings related to accounting and share her/his own recommendations for the improvement of existing activities.
Education:
Certificate degree in accounting and/or administration.
Strong communication skills in English, written and spoken.
Experience:
Minimum of 3 years’ experience
Skills:
Integrity and confidentiality in handling sensitive information.
Problem-solving and critical thinking skills.
Time management and the ability to prioritize tasks effectively.
Flexibility and adaptability to changing demands and responsibilities.
Very good social sense and good communicator
