Fleet Administrator is responsible for directing and organizing activities related to the servicing, operation, maintenance, and repair of all company vehicles. This includes planning and implementing corporate initiatives, safety policies, and regulatory compliance. The role involves maintaining databases, managing vehicle inspections, promoting safety, providing support to Operations, and providing driver coaching. The Fleet Administrator will play a vital role in ensuring the efficiency and reliability of the company’s fleet.
· Work in coordination with the Fleet Management Company to resolve Fleet related issues.
· Maintain databases for Driver Assignment, Fleet Inventory, Fuel Management, and Telematics/Safety.
· Update all applicable systems for driver terminations, new hires, and market changes
· Ensure vehicles are maintained and regularly inspected according to the maintenance schedule and inspection schedule.
· Assist Operations with out-of-service units, track repairs, expedite repairs, and mitigate downtime.
· Assist in assuring fleet compliance by maintaining current license and titling documents, inspections, and maintenance records.
· Review and process auto incidents in company vehicles.
· Dispose of retired assets and manage inventory, equipment, and materials.
· Investigate vehicle condition complaints and equipment failures.
· Enforce the safety program for the Fleet Department.
· Assist in transporting local fleet.
· Monitor the fleet inbox and respond to inquiries promptly.
· Create an excellent working relationship with the Operations team and ensure they are adhering to fleet policies and procedures.
· Provide timely service for drivers experiencing problems with systems or vehicles.
· Manage relationships with fleet vendors.
· Oversee telematic and dash camera solutions in fleet vehicles.
· Perform other duties and responsibilities as assigned.
· Has worked with a Fleet Management platform or understands fleet management technology.
· Extensive knowledge and experience in fleet support functions, including maintenance, operations, support services, and compliance.
· Exceptional interpersonal, management, and organizational skills.
· Strong problem-solving and analytical skills.
· Ability to communicate effectively across various organizational levels both internally and externally.
· Proficient in using relevant information systems and MS Office products.
· Self-motivated, proactive, and confident in mitigating potential issues.
· Ability to work in a high-pressure, time-sensitive environment, and face paced environment.
· High school diploma required.
· Bachelor’s degree preferred.
· One (1) or more years of experienced preferred.
· Prolonged periods of sitting at a desk and working on a computer.
· Must be able to lift 15 lbs. at a time.
· Valid driver’s license with a clean driving record.
