Position Overview

The Registrar Assistant will provide comprehensive student record management support for the Office of the Registrar at the Medical Education and Training Campus (METC). This office manages academic records for an average onboard student population of 7,000 and enrolls approximately 21,000 students annually across 48 enlisted medical training programs. The role requires meticulous management of student records in compliance with Privacy Act guidelines and the use of established systems such as the Army Training Requirements and Resources System (ATRRS) and the Student Management Registrar Tool (SMART).

Key Responsibilities
Student Records Management
-Provide daily student record management support between 7:00 a.m. and 4:00 p.m. Central Time.
-Manage student records, including enrollment, graduation, course completion certificates, and status changes (e.g., recycles, reliefs, and holds).
-Ensure compliance with Privacy Act guidelines to safeguard sensitive student information.
-Process training report requests, verifications, and student status updates within specified deadlines.
System and Data Management
-Utilize ATRRS and SMART to input and maintain accurate student records.
-Monitor program folders and ensure timely processing of METC01 forms for status changes.
-Track and update student accountability daily in coordination with program points of contact and Office of the Registrar staff.
-Verify grades in SMART before releasing graduation certificates and backing up class grades post-graduation.
Policy and Procedure Adherence
-Follow established Office of the Registrar, METC, and DHA policies, practices, and procedures for student records management.
-Assist in updating and maintaining standard operating procedures (SOPs), desktop guides, manuals, and training materials.
-Identify and recommend solutions for conventional problems related to registrar operations.
Reporting and Communication
-Prepare and distribute class start and graduation rosters per established timelines.
-Provide data for reports, briefings, and conferences to Registrar leadership and Quota Managers.
-Attend meetings and briefings as designated by the Chief Registrar, Lead Registrar, or Quota Managers.
Process Improvement and Training
-Support ongoing process improvement initiatives and provide recommendations to enhance operational efficiency.
-Coordinate with METC Information Technology Office for secure data storage and file sharing.
-Complete mandatory METC/DHA training and ensure compliance with all policies, procedures, and productivity standards.
Collaboration and Support
-Interface with METC faculty, staff, and Army, Navy, and Air Force Registrar offices to ensure seamless record management.
-Coordinate with the Medical Center of Excellence (MEDCoE) Office of the Registrar for delivery and verification of Army student records.
-Notify Registrar Lead immediately of any work stoppage issues.
