Training Event Coordinator

Watermark Books & Cafe is seeking a full-time Event and Marketing Coordinator who will be responsible for overseeing every facet of the author's events and marketing. Our store averages 2.5 events per week and we collaborate with many nonprofits, schools, churches, libraries, and other offsite venues. We are looking for a highly organized, personable, and communicative leader who can manage a team of event hosts, organize, and promote author events, and market the events to the public. This job sometimes requires you to lift up to 40 pounds and stand for prolonged periods of time.Responsibilities Include:• Representing Watermark Books & Café in store and at offsite events. Acting as a liaison between venues, authors, and publicists, event attendees and the public. Speaking in front of large crowds to welcome the audience and introduce the author.• Writing and submitting persuasive author event proposals to publishers.• Evaluating event requests to determine which ones would be successful and whether the event should be held at our store or offsite. Politely declining those events that do not fit with our program.• Working closely with publisher representatives and publicists to coordinate planning and marketing for multiple author events each week.• Coordinating with offsite venues to schedule events and finalize planning, rental fees, ticketing on Eventbrite and other details.• Overseeing existing and developing new events to be held in-store.• Working with managers to schedule staff for each event and communicate all necessary information to the event hosts.• Leading large offsite events, including managing a team of event hosts, handling all planning, and coordinating setup, breakdown, and transportation of books to events.• Creating a monthly event order list for the event buyer and working with the returns manager to return unsold events after the book.• Creating print and digital marketing materials, including monthly event calendars and print ads. Promoting events on our website and social media. Creating and maintaining a robust media list and sending press releases. Assigning marketing tasks to the web person.• Using Constant Content to send out a weekly newsletter and various email blasts throughout the year.• Managing an event profit and loss sheet by invoicing event partners and tracking events results in a spreadsheet.Ideal Candidates will have:• Excellent communication skills and confidence representing Watermark Books & Café within the community and bookselling industry.• Leadership skills and the ability to manage one full-time event coordinator and a team of freelance event hosts.• Graphic/web design and marketing experience.• Familiarity with Constant Contact or other email marketing programs.• The ability to juggle and prioritize a large volume of tasks.• Strong time management skills and a flexible schedule, with the ability to self-motivate.This is a salaried, full-time position, store discount and paid attendance at regional trade shows.Please email a cover letter resume to accounting@watermarkbooks.com with Event/Marketing Manager in the subject line.
