Manager, Office Services

We are seeking a motivated, organized individual to manage the general office operations and assist with technical support for everyone in the office. This person will also help support our remote and hybrid workers with their work-at-home environments. The Manager, Office Services will oversee an Office Services Associate in New York and work closely with our Office Services team in DC to ensure that both GSG offices and all remote/hybrid workers have consistent work experiences. This is role that will report to the Senior Vice President, Head of Technology and Office Services. 


Responsibilities


  • Manage our office operations, procedures, and budget to ensure organizational effectiveness and efficiency
  • In coordination with the DC Office Services team:
  • Manage GSG’s office vendors (e.g., copier, HVAC, A/V, security system, office supplies, etc.); negotiating cost savings, as needed, while maintaining high levels of quality and service
  • Assist GSG’s remote and hybrid workers with their work-at-home setups; ensuring that they have equivalent setups as office workers, answering questions and troubleshooting issues as needed
  • Communicate with GSG’s external Managed Services Provider to troubleshoot technology issues within the NY or DC office and/or with employees, providing Tier 1 technical support as necessary
  • Liaise with building management and staff as needed, including nightly cleaning services
  • Manage office supply inventory and reorder and restock supplies as necessary
  • Monitor and manage the reception area and ensure that someone is always there during normal working hours (Monday – Friday, 9AM – 6 PM, except holidays and office closures), when needed, to:
  • Greet all office visitors in a friendly, professional, and hospitable manner
  • Answer all incoming calls promptly and in a professional manner, triaging call requests, and/or forwarding calls to the appropriate party
  • Manage conference room bookings and assist colleagues in securing space; proactively troubleshoot booking conflicts as needed
  • Receive mail, packages, and deliveries throughout the day, ensuring that they reach the proper individual, tenant, or department
  • Make sure all outgoing mail and packages are handled in a timely manner
  • Ensure the office maintains a high standard of appearance including light housekeeping (i.e., unloading dishwasher, tidying up kitchen, organizing supplies and set up / break down of meetings and events)
  • Manage the office onboarding process for all NY or DC based new hires including building and office access, desk assignment and setup, computer setup, ordering business cards, etc.  
  • Assist with the planning and organization of any in-office events


Qualifications


  • A minimum of 5 years of experience in office management
  • Strong organizational and project management skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Strong problem-solving skills with the ability to troubleshoot technology issues
  • Adaptable, with the ability to remain calm and professional under pressure with a positive, solutions-first approach, and team-player attitude
  • Excellent communication and organizational skills with the ability to delegate responsibilities, experience managing one direct report is a plus
  • Physical stamina and mobility, including ability to reach, kneel, and bend
  • Ability to lift, push, and pull required load (usually about 30 lbs.)
  • High proficiency with PC-based computers and Microsoft Office 365
  • Comfortable with technology and learning new programs/systems
  • Proactive and ability to work independently
  • Proficiency in Microsoft Office suite of applications
  • Bachelor’s degree, or equivalent combination of education and experience


The base salary for this position is between $75,000 to $90,000 commensurate with experience, plus eligibility for a discretionary bonus.
